Forms đ€ automation
Using forms for request intake is great, but make sure you donât stop there. Once a form is submitted, automation can turn all of that information into a clear, scheduled, assigned, and prioritized task for your team to get started on without any time spent on processing. For every question you ask in the form, try creating a matching automation rule that will maximize it. For example:

Blog
Guide
Social posts
Press release
Depending on the answer you receive, have automation assign the issue to the right expert on your team. Then, let it create the subtasks you typically need for that workstream. That way, the team member assigned now has the context of the request plus the work ahead already mapped out for them.
Actually helpful reminders
Thanks to automation, you can make your task reminders as customized and useful as possible. Add relevant information like the priority of the task, the work itâs blocking, and key dates to the reminder message so that assignee gets all the context right away.
If youâre communicating with stakeholders and requesters on Jira tasks, have automation leave comments when review deadlines are approaching. One less thing to remember to do for the team member working on the request.
You can also set up reminders for when a task hasnât been updated in a while. If there hasnât been any movement because the work is blocked or has been deprioritized, itâs always best to keep the Jira project up to date so everyone knows whatâs going on.
Live feeds of key progress
Let Jira meet you where you work. Some of the most powerful automation happens when itâs combined with integrations. Here are some of our essentials when it comes to staying in the know about recent progress:
Trello: You can easily bring in important Jira tasks to see whatâs new without leaving your everyday home for productivity.
Slack or MS Teams: If you typically get all your updates through messages and channels, Jira can join you there. Create a space for Jira, then use automation to drop in a message when thereâs been new activity on key work items. No need to click around the project â you now have a live feed ready to be reviewed.
Dependent work created and linked for you
Have a bunch of tasks that should actually be connected? Let Jira automation know what you look for and itâll link them for you so they never get lost. For example, you can choose to link tasks if they have similar summaries or belong to the same category. You can then even have automation add a comment when one of the linked tasks has been completed, letting the assigned team member know they can take the next step.
Project clean-up and organization
There are so many options when it comes to keeping your project organized. The less time you have to spend on it, the more your team can focus on getting the impactful work done instead of the manual upkeep.
Try adding a rule to keep parent and child tasks in sync â if the child moves to the next status, the parent will too. For tasks that havenât been updated in an extended period of time, let automation move them to a âDeprioritizedâ or âInactiveâ status. They wonât disappear, theyâll just be flagged for when youâre looking over the whole project.
