Which is the best way to create similar projects and to manage them in WBS Gantt-Chart?

Hi, I use Jira Cloud and I need to create similar projects (everyone with the same tasks and the same sub-tasks) and to manage them in WBS Gantt-Chart. Any suggestion?

I've tried this way:

  1. I've created a template project with the all the tasks and the sub-tasks that I need
  2. I've cloned the template project with the app "Deep clone for Jira" in order to obtain the same scheme for all the other projects of my company
  3. I've used the app WBS Gantt-Chart to manage the projects created individually and all togheter

Thank you!

Hello @Andrea Fontanini , Alessandro from WBS Gantt-Chart support team here.

Thanks for submitting your question, we are happy to hear that you manage your projects using our App!

In fact, you should be able to perform most of these activities by using the App's Issue Template feature. It allows you to create a set of pre-defined issues and clone them with a single click which, in your case, can be used to create the template project.

The app also allows you to share the template across different Gantt-Charts using the Issue template share project feature. In other words, it allows you to use Issue templates from one Gantt into other Gantts.

Based on your scenario, here's what you can do:

  1. Create a Template Project in Jira and a Gantt chart for it.
You then add the issues you would like to clone either using Jira or the Gantt-Chart view:
    01.png
  2. After your Template is ready, right-click the parent issue (in this case Ordered Issues) -> Clone into template... -> Add to new template...
You can then give a name to it and click "Create" in the prompt that will appear right after selecting the option above:
    02.png

The process above will replicate the issues selected in the Gantt-Chart's "Template" tab:

Enabling you to add the selected issues whenever you like through the Add button on the Menu bar or the same option when right-clicking inside the Gantt Chart:

Now, to expand its usage across different Gantt Charts, all you have to do is map this Template Gantt to them using the Issue template share project feature. This will enable you to add the issues from your Template Project to any project you have the feature configured.

Let's say that you just created a new Project and Gantt chart for a new project. It will of course have no issues or templates available on the Add button.
So, in order to add the issues from your Project Template and clone them to this new project - here is what you need to do:

  1. Open the Gantt Chart where you would like to use the template and clone issues. In my case, I created the "Company Managed Project";
  2. From the Gantt-Chart screen, click the Cog Icon of the Gantt-Chart grey toolbar and select Gantt configuration:
    05.png
  3. On the Gantt configuration screen, go to the Issues tab and click on the Edit button at the rightmost corner to customize the settings.
  4. Locate the Issue template share project field and add your Project Template to inherit the issues you want to clone into this new project:
    06.png
When done, click the Update button to save the changes and then Back to Gantt so you can start using the Template project.
  5. From your Gantt Chart, click the Add button - you will notice that the template will be available as an option. Select it to clone the issues into your new Gantt:
    07.png
  6. The issues will be automatically generated according to the template selected. If everything is according to what was expected, you can click the orange Save button to generate the issues:

Hope this helps using the fullest of your WBS Gantt-Chart in your day-to-day activities!

Thank you @Alessandro Portela Cristiano for the answer. I have followed your suggestions, but I still have some problems at step number 4 of your list.

When I open the new project and try to insert the template in Gantt configuration, it doesn't allow me to insert the template project because the name of the template project doesn't appear in the Issue template share project field ("No matches found").

In the screenshot below "PXX23-CLIENTE TEMPLATE" is the name of the project template (and not the name of the WBS Gantt Chart), but it doesn't appear in the field.

This way I can't add the template and I can't go on. Any suggestion?

Thank you

You are welcome @Andrea Fontanini!

It may be possible that PXX23 is not being displayed on the list because of its Project Type (it is a Business Project from what I could Google Translate, correct?).

WBS Gantt-Chart features are mostly compatible with Company-Managed Projects.
Unfortunately, the very nature of Business or Team-managed projects prevents some features of the app from being implemented at the moment.

In this case, I would recommend Migrate between team-managed and company-managed projects and then trying again.

Please note that the project migration may be necessary not only for the Template Project but for your other projects as well and, since you are modifying data in bulk, a backup is always recommended to prevent data loss.

Please, do keep the questions coming!

Thank you @Alessandro Portela Cristiano . I've created a new Company-Managed Project and now it's possible to use issues frome shared templates coming from other Company-Managed Projects.
