Clever Solutions for Worklog Reminders?

Hello,

Anyone have any clever ideas for reminding team members to fill out worklogs? We're currently using a morning daily filter sub that shows worklogs entered the previous day as well as a 4p Slack reminder on the 'day of' but in spite of that, I still have to remind individual team members several times a week to fill out their worklogs.

Ideally, I'm looking for a method to remind team members when the previous day is null or even better if their cumulative value is low for the day.

Would love to hear some thoughts.

Michael J

Hi @Michael Johnson ,

we hear this a lot from team leads: daily filters, Slack reminders, and still having to chase people for worklogs. It’s time-consuming and adds a lot of noise and confusion for everyone involved.

From your tags it looks like you’re probably on Jira Server/Data Center, but many teams are in the middle of or planning a move to Jira Cloud. If you’ve already migrated – or for anyone else reading this thread who is on Cloud – the approach below might be helpful.

For teams on Jira Cloud we recently released Worklog Reminder for Jira which focuses exactly on this problem:

  • Define a team and a worklog rule
For example “8h per working day” or “at least 6h per day, 5 days a week”. The app checks each team member’s logs against that rule automatically.
  • Catch empty or underfilled days
It detects when the previous day is empty or when the daily/weekly total is below your target and only then sends a reminder.
  • Choose how to notify and drive action
You can notify users by email, show a in-product flag in Jira, or even redirect them straight to a timesheet view That way, they can immediately log the missing time with minimal friction, while the reminders still feel supportive rather than policing.

If you’re using Jira Cloud, this should cover your “previous day null / low cumulative value” scenario quite well.

Best,
Michał

Hi @Michael Johnson

I'm Daniel from an app vendor, EverIT. We have two different methods for this in our apps, based on whether you are on Data Center or the Cloud.

On Data Center, the app Timetracker has a feature called Missing Days Report, which checks if your users have enough hours logged according to their requirements, and sends email alerts if not.  You can read more details about it in our documentation.

On Cloud, we put this feature in a separate free app, called Fillchecker (and you might still use it together with Timetracker for other worklog-related reports and a better time-tracking user experience.

As for cumulative reports - they both offer the report on an individual level, but the visuals provide a quick overview. You can check both apps here. Happy to show them in a demo if interested.

Daniel
