Use a filter to display issues from other projects.

Greg Davis August 3, 2023

I've got access to several different Jira projects. I have a "master" project that has a few issues associated with it in other projects. I've created a filter designed to pull those issues into my master project based on data in the labels field. In the filter view when I run the filter the issues I expect to be listed show up in the list. But when I then switch to my Board view or my Backlog view, and run the custom filter, I'm only seeing issues from the master project. I'm looking for help to understand why the issues get pulled into the filter view, but not the Board or Backlog view.

In the first screen shot below of my filter list screen, you'll see three issues listed on the left side, 1 from my master project (LIBSPLAN) and 2 from another project (LIBIT). But in the second screenshot of my board, you'll see that only the LIBSPLAN item is found using the custom filter.

Hello @Greg Davis

Looking at the board image you provided that appears to be for a Team Managed project. Is that correct? You can confirm that by looking at the text at the bottom of the panel on the left when you are viewing your board. That text will include either "team-managed" or "company-managed".

A board is configured to display issues based on a filter that governs the board overall. The Custom Filters option gives you the ability to reduce the issues displayed, but not to add more issues that are outside the scope of the board filter.

For a Team Managed project the board is limited to displaying only the issues from one project - the project to which the board is attached. You cannot display issues from multiple projects in the board that is automatically created with a Team Managed project.

If you want to combine issues from multiple projects including Team Managed projects you will have to create a filter that encompasses all the projects/issues you want in your "master" list. You can then manually create a board based on that saved filter, which will then show all the issues. And then you can add filters to that board to constrain the view to subsets of issues within the larger scope.

For more information about that process refer to this article:

Thanks Trudy,

I'm not finding an option to view all Boards and get to a create Board option, as was described in the link you provided.

On my home project view when I open the Board for my project, I don't see any options for creating a board. The screen shot for this is below.

If I go into my project settings, I have a set of Board options. But none of them are to create a board. The screen shot for this is also below.

Any ideas?

Click the Search field in the menu bar near your avatar.

In the resulting pop-up at the bottom is a Go to all option with a Boards button.

Click that button to get to the screen that lists all boards and includes the Create Board button.

Thanks Trudy. Your instructions were excellent. I would not have thought to click in the search bar. I think I'm on track now.

@Greg Davis What is your Board filter? (... > Board Settings > General > Filter Query)

Does it include issues from the project LIBIT?

Your board filter will pull all issues into your board view, and your custom filter will narrow down these results in your view

Just a heads up, multiple projects in one board will prevent the usage of the basic roadmap

Thanks Megan,

I'm not seeing an option to create a board view. I only have an option to create custom views. Here's a screen shot of my project setting page and the options I have:
