Is it possible to add a pop up box with guidelines for each status in jira workflow

We are currently creating a new project in Jira, and in regards to the associated workflow - for each status, we would like some kind of a "pop-up" box to appear, when you move the mouse over each status. This simply to explain our colleagues which tasks to be effected in each status type, before changing to next status type.

It could also be, a text box added below the workflow with help text for each workflow status.

Are the above mentioned suggestions possible? If not - do you have any other suggestions?

Thanks

Carina

@Mark Segall I'm also new here, and trying to do the same as Carina. I am working on Cloud. Where do I configure the Transition Screen "Pop Up" - I cannot seem to find it in Project Settings.

Thanks in advance!

More specifically, what do you mean by 'create a special transition screen and assign that screen to each of the desired transitions in the workflow'

Hi @Donika Pacolli  and welcome to the community!

Some prerequisites for this:

  1. You need to be Jira Admin
  2. The project needs to be configured as Company Managed

Once you've confirmed that, you'll take these steps:

  1. Navigate to Settings >> Issues >> Custom Fields
  2. Create a new custom field. On the left, select Advanced and then look for Message Custom Field (for view). Give the field a name and In the description type what you want users to see.
  3. From the left navigation, select Screens
  4. Click Add Screen, give it a name like In Progress transition screen (or whatever status you're wanting this applied to and include the field created in step 2 above
  5. From the left navigation, select Workflows
  6. Locate the workflow(s) where you want the text to appear and click the ellipses to the right and select Edit (switch to diagram view)
  7. Click on the transition line that you wish to present the screen.  Details will appear on the right with an Edit button.  Click that and then for screen, select the one created in step 4.

Hi again,

Thank you for your answer. I followed your guide and made it work - the only thing I had to change was to create the field as Message Custom Field (for edit). That was the only way it would appear on the 'resolve' screen, which was the status I wanted the info-box to appear on.

Best

Donika

Ahh, you're right.  The view version is just for view screens.  Good catch.

@Donika Pacolli Message Custom Field (for edit or View) not working in Jira Service Management, it was earlier working when i was using Jira Service Desk, is there any way we can add a text message to pop-up transition screens?

Hi @Carina Kærvang and welcome to the community!

Are you on Jira DC/Server or cloud?

If you're on cloud, you have a couple options:

1. Static Message Custom Field on the issue screen

The Message Custom Field is a field where you set static text.  You can add it to the issue screen and as users get more savvy with the workflow, they can either pin more important fields above it or you can eventually just hide it from the screen.

2. Transition Screen "Pop Up"

Similar to above, you'd create a Message Custom Field, but instead of adding it to the issue screen, you'd create a special transition screen and assign that screen to each of the desired transitions in the workflow.

I highly recommend not going this route because your more savvy users will get frustrated quickly at having an extra click every time they want to transition an issue.

Hi Mark

Thanks, and thank you for your reply.

We are on server 😬. Are there any options then?
