Scheduling Daily Sub-Task on Existing Scheduled Epic/Task

Wilcor G July 19, 2023

Hi!

I currently have a scheduled Epic/Tasks/Subtasks setup in automation following the great response i got from https://community.atlassian.com/t5/Jira-Software-questions/Jira-Automation-Get-created-issue-key/qaq-p/1458927

Is it still possible to create an automation to schedule a daily sub-task for one of the tasks generated by the initial automation?

Here is an example:

EPIC > MMM YYYY Monthly tasks

Task > Monthly Task 1

 - Subtask 1

- Subtask 2

- Subtask 3

Task > Monthly Task 2

-Subtask 1

-Subtask 2

-Subtask 3

Then in this scenario i need a 3rd task that would schedule daily sub-tasks for the month

Task>Monthly Task 3

- schedule daily sub-tasks for the month

Do I just need to do a separate scheduled automation for the 3rd task/sub-tasks and then manually move it to the Epic?

Thank you!

Wilcor

Hello @Wilcor G

Are you wanting all the daily sub-tasks created on the first of the month, or do you want a daily subtask added each day?

You can add the creation of the Task > Monthly Task 3 to your original automation rule, just like you create the rest of the Tasks as children of the Epic in that rule.

If you want to create all the daily subtasks under that Task 3 at the beginning of the month, add them the same way you add subtasks in your original automation rule.

Hi @Trudy Claspill ,

If possible, I would like a daily sub-task scheduled to be added daily (Mon-Fri) for each month.

Thank you!

Then I would suggest that you create Task 3 in the original rule and create a separate rule to run daily to create the subtasks.

You will have to put something identifying into Task 3 and possibly its parent Epic that you can use in a JQL statement to find the specific Task 3 issue to which you want to add subtasks in a given month.

Within the scheduled rule for adding those daily subtasks you can check the Year and Month values of the {{now}} smart value to help you identify the Epic (using a text search comparison on the Epic Summary field).

Then use the Epic Key along with the identifying feature of Task 3 in a Branch For Related Issue / JQL to zero in on Task 3.

Then you can add add the subtask within the branch using the Create subtasks action.

I haven't actually created the rule and worked out all the details of each step, so this is theoretical.
