Sending a form to reporter when status is changed

Peter Morrisey December 3, 2024

I want to set up an automation to send a form that I created to a reporter when the status of the parent issue is changed.

I want to confirm that when I select the action "Attach Forms" to visibility "External" (the reporters are external) that the form gets sent to the reporter. Do I also need to send an email? If so, can I link to the form in the email and how do I do that?

Hi @Peter Morrisey,

Welcome to Atlassian Community!

When you attach the form to the request it will be available on the Portal, but it will not send a customer notification. So if you want that to happen then you will have to add either a comment component or send email to the automation in order to notify the customer. They can then go to the Portal and fill out the form you attached.

Thanks, do I have to add a specific link to the form or it will just be available when they navigate to the task from the comment? If there is no link, how does the reporter find and fill out the form?

No, the form will be shown as part of the request, similar to this:

So the only thing you would need to include in the notification is the customer URL using the {{issue.url.customer}} smart value.

Thank you!
