Creating a Second Agile Board for Team-Managed or JIra Work Management Projects

We all know that boards can be one of the most empowering ways our users interact with Jira projects. The ease of dragging and dropping cards from column to column provides a smooth and effortless transition of issues. 

But, let's face it, those built-in boards for Team-managed projects and Jira Work Management projects (both Team-managed and Company-managed) can be very limiting when we need something more robust or flexible for board interaction. 

And what about Jira Service Management projects? Well, they don't even have a built-in board!

Are we just stuck with that as our only solution? No! You can actually create a Jira Software board that can be used with each of those projects above. So, how do we get started?

The following guide specifically mentions JWM projects, but you can sub out the name for Team-managed or JWM. 

1. Create a New Filter

You will need to create a filter for the JWM project, something like Project = ABC ORDER by Rank ASC where ABC is the project key for your JWM project. Be sure to save the filter and share it. Or you can use an existing filter if one exists with the same issues in it.

2. Go to your list of boards (https://yourdomain.atlassian.net/jira/boards) and click on Create board

3. Choose either Kanban or Scrum

4. Choose create based on an existing Filter.

5. Then attach it to the new filter you just created.

6. Set the Location Field.

For the Location field, you will not be able to use a Team-managed, Business, or JSM Project - only Classic Software projects. Or you can link to your profile - probably best in this case. But this will not keep the new board from working - it really only cares about the project(s) in the filter.

Then you are all set. You can modify the board as you need to.

One side note - you will not be able to click on the Board option as normal for the project as that will take you to the built-in board. You will need add a shortcut on the left side menu and include a link to the new board.

Very cool solution!  Adding these to your profile is something that I don't think alot of people realize is doable.  Thanks for the insights!

Hello John,

Thanks for the solution. Is there any way i can pick another user when who is the lead when saving the profile in the location section and not me?

Hi @Adebayo Banjo  - No, unfortunately, it is just your own profile that can be used. But you can try to have the other user change the location to their profile. Just make sure you add them as a board administrator first.

When I try to add the Team Managed Project tasks to my existing JSW scrum board they do not show.  I can see them in the filter search and the Team Managed Project is added to the list of Projects on the JSW board, but they do not show in backlog.

Is this a board config issue?

@Karen - Probably so. I should have been more clear in the article that it's really designed for Kanban boards and not Scrum boards.

Very useful, I learned about Location. Another tip: if your filter doesn't have an ORDER BY RANK clause, I think you won't be able to drag issues up and down in a backlog

I suggest pinning secondary boards into your shortcuts tab in team-managed (etc) projects  -- the one along the top, and slack (if you're using it).  It's also good to set it as a default tab when you open your browser, wherever it might be.  Fewer clicks! :)

This is completely absurd... 1 JSM project = 1 board?!

As an administrator responsible for creating boards for my teams, my only options are to:

  • Create a board directly on their profile (which is impossible unless I’m logged in as them)
  • Create a dummy Jira Software project (e.g., called "Personal Boards") to attach the boards to...

This approach is far from efficient.

Any jira support issue to vote on for this (multi-boards on jsm projects ) ?

Hi @John Funk this is helpful, but I'm wondering if there's a possibility to do this cross visibility with specific tasks, rather than full boards. We work in cross teams projects, where each project has its boars, but need a solution that allows us to bring only specific tasks and not full projects into one place to manage team capacity and prioritization. Is this possible in Jira Work? Many thanks!

@Nicolas PR  - There's not a JAC ticket for multiple JSM boards that I am aware of. Now is a good time for you to submit one.   :-)  Please post back here with the link so we can vote for it and follow it. 

@Maritere VARGAS CONTRERAS  - You can use a board filter for the new board to only show certain issues on certain projects - it doesn't have to be full projects.

Trying to get this to work for my Team Managed project and am not sure if I am perhaps getting the Custom Filter syntax wrong with my JQL but I am not seeing my filter show up in the "Saved filter" field of the "Name this board" modal. Very new to this so please excuse the noviceness in advance!

Anything thoughts on why that might be? It's just an alpha string with no spaces... Does it take a while to propagate?

Hi @Richard Benson  - Welcome to the Atlassian Community!

Did you create a new filter for the project? There won't be one that shows up automatically, you would have to create a new one first. Something as simple as: project = ABC will work. Then be sure to save it and share it with anyone who needs to see the board. Then you can come back to the board and sub out the filter that is being used with the new. Or if you are still creating the board, you should be able to base it on an existing filter or on an existing project.

Thanks for the quick response @John Funk ! I did indeed create a new filter for the project and even got as fancy (for me) as including the order by rank as well. It shows as saved. Perhaps the sharing portion isn't working as I don't see any options for sharing in the UI.

I likewise checked Personal settings and Manage account to see where I can find my permissions for sharing but might not be looking in the right place as I can't find what I think I am meant to be looking for: Global Permission "Share dashboards and filters", correct?

@Richard Benson  - Have you created the board already? Or are you trying to create the board now based on an existing Filter? Either way, can you share a screen shot of where you get to and where it breaks down for you?

Team managed, and I had to request an admin create the original project and board. But now that it is created, it appears I have the ability to create boards in other projects, just not this one (which is why I am suspecting that perhaps it might be a permissions issue).
