Hello @Yi Hui Lau ,

The approval process is created based on the workflow in jira, you can refer to the following posts.

Hi @Yi Hui Lau

In native Jira, approvals can be handled using Workflow Conditions and Status Transitions.
Here’s how you can set it up:

  1. Go to your project settings → Workflows.

  2. Edit the workflow and add a transition to the next status (e.g., from “Pending Approval” → “Approved”).

  3. Add a Condition that only specific users or groups (e.g., managers or approvers) can execute the transition.

  4. Optionally, use a Transition Screen to collect comments or approval notes.

  5. You can also use the “Approvers” field in Jira Service Management to track approvals directly on requests.

This works fine for simple use cases - but if you need multi-level approvals, parallel approvers, or automatic escalation paths, it can get complex fast.

That’s where i would recommend Approval Path for Jira. It lets you:

  • Build visual, multi-step approval chains (sequential or parallel).

  • Automatically assign approvers based on rules or issue data.

  • Send notifications and reminders to approvers.

  • Track all approval actions in a clear audit trail.

  • Additionally, has full support for external user approvals

So, if your process involves more than a single “approve/reject” step, or if you want something easier to manage than custom workflow conditions, Approval Path for Jira - is a much stronger and more scalable option.
