Hello @RajiArumugam

Welcome to Atlassian Community!

In Jira, workflows (your process steps/statuses) and workflow schemes (what links those steps to projects) are separate. By design, Jira lets you reuse the exact same workflow across multiple schemes to save you time and keep processes consistent.

Here are the most common reasons your workflow is tied to more than one scheme:

  • Shared Processes: Multiple projects use the exact same steps, so they share one workflow.

  • Copied Schemes: When a scheme is copied, the new version still links to the original workflow.

  • Deleted Projects: When a project is deleted, its old scheme stays behind as "inactive" but keeps its link to your workflow.

To remove a workflow from a scheme, go to your Global Workflow Schemes settings, edit the specific scheme, and remove or replace the workflow.

I hope that helps!

Thanks

Thank you for the detailed reply. My reason for the workflow mapped to different schemes is the first one , where one scheme is used by multiple projects. However now the projects are deleted, but the link is still there. If i make a change to the workflow scheme , it is reflected in all three mappings.

I would like delete the unwanted mappings.

Where can i see the Gloabal workflow schemes seetings ?

Yes, but only if those workflow schemes no longer need the workflow. Update the workflow scheme to use a different workflow first, then remove the association. Make sure it won’t impact any active projects.

Good suggestion. Will try that.

Hello @RajiArumugam,

just in case the purpose of your question is that you want to change a workflow but this to affect only one particular space or scheme, you can create a copy of that workflow, modify it and then switch workflows in the space or scheme.

Hello @RajiArumugam

Yes, it is entirely normal in Jira for a single workflow to be linked to multiple workflow schemes, which simply means multiple projects or issue types share those same statuses and transitions. While you can remove a workflow from a scheme, you should only do so if you are certain it is no longer needed.

Configure workflow schemes | Atlassian Support

Before making changes, check your workflow schemes in Jira settings to see if they are active and which projects or issue types map to them. Modifying a shared, active scheme will impact every project using it, so avoid removing anything until you have a proper workflow change and status migration plan in place.

Best,

Arkadiusz🤠
