Hi all,
I use a team managed project and I have following following workflow:
1. TO DO: New, Prioritized
2. In Progress: BA, SA, Archi Dev, PBI Dev, Demo
3. Done
now, I have subtasks under each Story issue type that is created and moved by each dev. I have problem when closing my Sprint because although each Story is closed only when the sub-tasks are closed by the devs and that happens before end of Sprint (meaning that no sub-task is open when the relevant Story is closed) but I have the problem of seeing:
"This sprint contains 0 completed work items and 58 open work items"
and every time I get questioned around why Jira is showing this message:
I dont know why this happens everytime although I know the items that are not Done (like the stories that have subtasks yet open will be moving to the next Sprint) will move to the next Sprint. I also counted the no. of those issues in DONE status on the current Sprint and see they match the no. of all those closed Stories. Also I have checked the workflow columns on the project setting and I mad sure the DONE column is the last one and the issues which are DONE are put under that column once they are completed
Your help would be much appreciated.
Hello @Ardalan Sepehri
Looking at your original post I see this:
In the image it says that the last column on your board is "Cancelled", and in your text said you are moving the issues to the DONE column.
Can you show us the Column/Status configuration for your board?
Is the "done" status mapped to the column farthest to the right? Only the issues in the column farthest to the right are considered complete at the end of the sprint.
If you have a column for the Done status and a separate column for the Cancelled status, and the Cancelled column is the one farther to the right, then only the issues where the issue and all its subtasks are in the Cancelled column would be considered complete.
If issues in both the Done and Cancelled statuses should be considered "complete" at the end of the sprint (per your process) then both statuses need to be mapped to the same column - the one farthest to the right on your board.
Hi @Trudy Claspill , I am addressing you again here as I hope still to find an answer for my problem:
As you see the last column in the right for my board configuraiton is DONE column and I don't understand how I have Cancelled column showing up in the above screenshot I shared in the 1st place? I would appreciate your help! All I need is to change the setting of the board so that once we close the Sprint it doesn't show that misleading message:
FYI, it shouldn't be a one time fix, it should be applied to all Sprint moving forward
thanks!

Hello @Ardalan Sepehri
Can you provide a complete screen image of your status/column mapping, please?
Example:
I want to see if there are any unmapped statuses, and see where the Cancelled status is mapped (assuming it exists). I also want to confirm that there is not indication of another column farther to the right by being able to see the "+" button to the right of the last column.
Can you use the "Search work items" option under the Filters menu to search for all issues that are in the Sprint you are trying to close? Check that there are no issues from another project in the sprint. Issues from another project that erroneously got assigned to the sprint would not show up in the board built into the Team Managed project.
Since we are a user community without access to your instance you may want to escalate this to your Jira Admins and ask them to open a support case directly with Atlassian. With your admin's permission Atlassian can be granted access to your instance so that they can look directly at the data to diagnose the problem.

@Trudy Claspill thanks for your quick reply, here is the screenshot of the column page you asked for :
Thee are two important points here:
1. I dont have the control over the type of works that I can choose to apply the status as your screenshot
2. there is no "Cancelled" status on my board as the last column for my board is just DONE
In regards to interacting with other projects, no we dont have that situation as we have separate boards for different teams and we dont mix them with eachother
Thanks again for your help!

Thank you for the additional image. It doesn't appear to include the + button on the right nor the unmapped statuses area on the left.
While you may not intend to mix issues from different projects in a sprint, it can happen accidentally. Jira doesn't block issues from being assigned to an unrelated Sprint as long as the user has sufficient permissions.
So, please execute the search as a confirmation that there aren't issues from another project in the sprint.
Jira also doesn't require Sprint names to be unique. You may find that there are multiple sprints that have the same name but are from different boards. That can contribute to issues getting into the wrong sprint.

Hello @Ardalan Sepehri ,
Thank you for your question.
The most likely culprit here is that the statuses that your subtasks end up in (after they are closed by the team) are not mapped to the "Done" column of your board. While your Stories are closed when subtasks are closed, Jira's sprint completion logic is checking each subtask's actual status against the board's definition of "Done" when attempting to close the sprint. Also, cross check the resolution field value for both the Stories and Sub-tasks. If Story or Sub-task is done then Resolution should be updated with correct value.
Refer to the Sprint cannot be completed as there are incomplete subtasks in Jira Cloud

Hi @pawarsachin84 ,
thanks for the quick reply, however, I am not sure your response could be applied on my case or not because as I explained in my question, all the subtasks are well closed (in the rightmost column before we close the Sprint), here is the screenshot for our columns & statuses setting of the board. As you see here all the Done statuses are applied to all issue type (including sub-task) for moving them to DONE:
so, although we have all those sub-tasks are well mapped to DONE but still I have this issue upon closing my Sprint

Does your workflow create a resolution status when issues are moved to done?
Resolution status is the true "done" and will mark the issues as truly complete. You can check if it's set in the workflow, it's done via post function.
Thanks

Thanks @Aaron Williams for your quick reply, unfortunately I can not see this condition as I am using the team managed board, if you know where to find it on the team managed board, it would of high value to share it please?

Navigate to board settings --> Layout, (board settings is the 3 ellipses next to your board name) has the option of adding columns and removing columns to customize it based on your workflow. It also shows the number of issues in each of the status that you see on your board.
Hope this helps.

As suggested by @Trudy Claspill comment could you please provide us with the Column/Status configuration for your board?
As per your screenshot it says that it has Cancelled as the last column on the board.

@pawarsachin84 Thanks for the reply!
My problem is not just closing one Sprint but it happens for all the past and current sprints again and again. here is the screenshot of the most right columns of the board so that you could please help me figuring out what is causing this issue:
and as a separate note, is there anyway to access the the previous Sprints logs and issues somewhere else other than "Reports" section of a TEAM MANAGED board?
