Let me answer first for the repetitive tasks: you can lower this by creating an automation rule:

• Trigger - Scheduled - you can schedule if you want the task to be created every day, every hour, every week

From there you can add conditions like work item field conditions, advanced conditions where you have the IF/ELSE logic being applied.
