I have the Hide Email Signatures option turned on in my JSM space Email channel. I am exclusively ingesting emails via HTML through Outlook/Exchange email boxes. Most of the signatures end up in the Description field embedded as Tables with graphics, etc. Each graphic is then in turn added as an attachment.
How can I effectively remove all of this noise from the Description field
Good morning! Everything's great here, and I hope you are too. Thank you for sharing your questions; I hope the community can help you.
Here is a simple and effective way, specifically considering your scenario (HTML, Outlook/Exchange, tables + images turning into attachments) in a JSM space project:
Use the native “Hide email signatures” feature TO THE MAXIMUM As a Jira admin, go to Settings (⚙) → Products → Jira Service Management → Email requests or open directly:
In the section Hide email signatures in the issue view and portals:
Keep Default detection enabled (this is HTML-based detection – it already covers most Outlook, Gmail, etc. signatures).
Also enable “Custom detection” and register text-based rules that always appear in or below your signature. Examples:
“Atenciosamente”
“Kind regards”
Company Name + CNPJ
First sentence of the legal disclaimer
Organize these phrases by priority (JSM searches from top to bottom).
What this does: Everything from the detected text downwards is hidden in a collapsible block. This includes:
Signature tables,
Logos,
Social media icons,
And the attachments of these images become grouped/identified as part of the signature (less “visual noise” in the description).
Optimize the HTML that reaches JSM (Outlook/Exchange side) Even with the native feature, very “creative” HTML signatures can “leak.” To clean it up further, you can:
Standardize the corporate signature in Exchange/Outlook:
Remove unnecessary nested tables.
Decrease the number of images (reduce the amount of logos, network icons).
Replace some images with Unicode text/symbols (phone, email, website).
Add a fixed marker before the signature, for example:
--
*** SIGNATURE START ***
Or a standard phrase (“This message and its attachments are confidential...”)
Then, register this marker in the JSM Custom detection.
This way, anything below it (including HTML tables and logos) will be hidden.
Perhaps this will help you: try this out. If you encounter a problem, please provide screenshots and as much information as possible so we can assist you.
I did try this with Zero success. I am probably not putting the correct custom stuff to search for and remove but I can't find any guidance anywhere on what to specifically use.
