Is it possible to create a new control group for a collaborator to edit only their workflow?

Edvan Jose da Silva Junior August 6, 2024

We have a collaborator who needs to edit the workflows of a specific project. After doing some research, I saw that I need to grant admin access to the entire site, but I don't want to grant admin access to the collaborator, since he would be able to view all the other projects.

Therefore, I would like a solution to grant editing access to this specific workflow to the collaborator. Any suggestions? I don't want to grant admin access to the entire portal or create a new Jira site.

Hello @Edvan Jose da Silva Junior

Welcome to the Atlassian community.

There are two scenarios where a non-Jira Admin can edit the workflow(s) associated with a project.

1. It is a Team Managed project and the user is assigned the Administrator role in the project.

2. It is a Company Managed project that uses the simplified workflow and the user is a Project Admin and Board Admin for the project.

In #1, a Team Managed project is a "stand-alone" project in Jira. It can be customized by the Project Admins of that project. That includes creating issues types, custom fields, and managing the workflow. All the changes are specific to that project and are not able to be shared with other projects. However Team Managed project workflows don't have all the customization capabilities available in Company Managed projects.

In #2 a simplified workflow is one in which all statuses can transition to all other statuses, and there are no conditions, validators, or post functions included in the workflow.

Those are the only two options.

I have not found any third party app that would enable granting workflow editing permissions to a non-Jira Admin for Company Managed projects.

If the project uses the simplified workflow, then a user that is in the project's Administrator role and an Administrator of the agile board associated with the project can modify the workflow.

If a project is using the simplified workflow you will see that in the agile board settings.

Otherwise, no, a non-Jira Admin cannot be granted access to modify the workflow(s) associated with a Company Managed project.

So, in short, since my option is a project managed by a company, is it not possible to grant access to a single person?
