I am not a SQL or other programmer, just an end user trying to configure a solution. I would like to display information from our system for monthly status meetings. These data include assigned issues, outstanding issues, spaces where they are being assigned, who has the most outstanding issues, etc. for tracking progress and managing departments. How can I get this done?

Hello @Bob Scudder 

You will need to start by defining in more detail how you want you data displayed and what data you want to include for each report. Let us take "assigned issues" as an example.

What does "assigned" mean to you? Does that mean the Assignee field is not empty, or does it mean that the work item was in a particular status representing that work was started?

Do you want a list or a count or a tabular presentation with two axes such as per Assignee and per Spaces? Or are you looking for some sort of trend graph for how the number of "assigned" issues changed over time during the month?

Do you want data from all Spaces, one Space, or some subset of Spaces? 

Are you aware that the visibility of the data will be constrained by the permissions of the user viewing the dashboard? As an Admin you might be able to see all the data, but if the users viewing the dashboard don't have access to the underlying projects then they won't see the same data. 

Do you want your reports to be based on the state of the work items at the moment you generate the report? 

 

If you are not experienced with creating filters and dashboard, I advice you to consult with somebody in your organization that has that experience. If there are no such people, you may want to take advantage of the free, on-demand learning that can be found on those topics through the Learning link at the top of the Community pages.

Of course you can also post questions here in the forum to get advice from other users.

 

Another alternative is to consider engaging with an Atlassian Solution Partner to help you examine the problems you are trying to solve with your reports, determine the right reports to construct, and how to construct them. Hi @Bob Scudder 

Jira has only basic reporting capabilities

Use a dashboard in Jira, based on filter result gadgets or two dimension all filter results, you will need more then one.

If the ootb gadgets don't suffice, you can look at 3rd party apps that can enhance dashboard features

Or you could use the API to get details and based on the results create your own overview in Excel or another reporting tool (there are also 3rd party apps for this)

The last might be your solution as your questions seem BI related.

Note: Jira is not a BI reporting tool, for a certain requirement there is an application for that.

If you would be interested in a mktplace app to capture this data, you can try out

Time in Status Reports 

With this app you can easily generate reports such as:

- time in status for Jira issues

- how long colleagues have been assigned to issues

- average time issue has been spent in each state

- date of issue entry into a status

- transition and status count for each issue

- Group your statuses to define your own Cycle/Lead times

You can try gadgets for Jira dashboards (no SQL or programming required).

For example:

  • Filter Results gadget - shows the list of tasks based on a saved filter, helping you quickly see and monitor the work that matters most.

  • Pie Chart gadget - allows seeing the distribution of tasks by status, assignee, priority, etc.pie-chart-gadget.png

  • Sprint Health gadget - allows you to get a simple snapshot of sprint progress.

Getting a consolidated view for monthly status meetings without coding is a top priority for many managers. Native gadgets often require you to stitch multiple charts together to get this level of detail.

If you are open to using a third-party app, Timepiece - Time in Status for Jira has a specific report configuration that covers almost all your requirements in one view without any SQL.

You can use its Status Duration report and simply Group By 'Assignee' and Created Month.

Workload: See the exact 'Number of Issues' per person to know who has the most on their plate.

Aging & Progress: See exactly how long those issues have been sitting in statuses like 'Backlog' or 'In Progress'.

I voted for two responses -- both essentially recommend engaging with someone who can help you determine your needs then buy (or build) a solution.

My motto >>>  API + PowerBI = Unlimited Reporting.   That's how I (as a developer) would it.  Other people have other tools in their "favorites" toolbags as they mention in their own answers.
