How to edit permissions in Jira for several external partners

Ali B. May 30, 2018

Since we are working with several external partners on different projects, I have no clue how to edit the permissions schemes.

We have the current situation:

External Partner A is working on Projects A,B

External Partner B is working on Projects B, C

External Partner C is working on Projects A, C

First, when I only had External Partner A it was easy to handle, since I created a scheme for him.

But now with further Partners this solutions seems to be impossible. Would be very happy about your suggestions and experiences

Hi @Ali B.,

I would create a project role. Call it "External Partners" or so.

Then add

  • users from A and C to that role in project A
  • users from A and B to that role in project B
  • users from B and C to that role in project C

Then, you can share the same permission scheme between these projects. You only have to grant permissions to the project role ("External Partners") instead of groups or users.

@Thomas Schlegel But this also requires that I edit the Permission Scheme of the project and add the role External, doesn't it?

Yes, you have to edit the permission scheme. But you only need one permission scheme and not three of them. You can share the scheme, if the other permissions are the same for all projects.

Hi @Ali B.,

do all you external partners have the same permissions in all projects?

You could create a project role "External Partner" and grant this role the permissions it should have.

Then you can simply add the Users from Partner A, B or C to that role in project permissions.

@Bastian Stehmann the external partners are not allowed to see the other projects, e.g. Exernal Partner shall only have access to Projects A and B but not C.

If they are all in the same role I think Partner A can also have access to Project C, can't he?

Hi @Ali B.,

no, Partner A won't see Project C if no user from Partner A is added to the project role in Project C as the roles are per project.

If you add user from Partner A to project A and B, they will only be able to see project A and B.

@Bastian Stehmann okay, thanks! but still  i have to edit the permission scheme of the project and add the role external partners or is this role not necessary at all?
