Failing to grand permissions to a new team member to access and view an existing board

Maty Grosz October 20, 2025

Hello

We fail to grand permissions to a new team member to access and view an existing board under an existing project. The new team member can access and has all the permissions he needs in the existing Jira project. We also shared the board filter with him. But when he is trying to access the board - he gets an error that he doesn't have access to the project and board.

Help is needed as the new team member in blocked.

Hi @Maty Grosz

This usually happens because board access depends on two things:

  1. Project permissions (which you already confirmed are fine), and
  2. Board filter permissions (and sometimes the board location).

Here’s what to check:

  1. Board location
  • If the board is in a different project or in a user’s personal space, the user needs access there too.
  • Go to Board settings → Location and confirm it’s under the correct project.
  1. Filter sharing
  • Boards use a saved filter. Even if you “shared” it, make sure the filter is shared with:
    • The project role or group the user belongs to, or
    • Everyone on the site (if appropriate).
  • Check under Filters → View all filters → [Your filter] → Details → Shares.
  1. Board admin permissions
  • If the user still can’t see the board, add them as a board admin:
Board settings → Administrators → Add user.
  1. Project type matters
  • If it’s a team-managed project, boards are tied to the project, so adding the user to the project should be enough.
  • If it’s a company-managed project, the filter and board location rules above apply.

Quick fix:

  • Share the filter with the same group/role as the project permissions.
  • Confirm the board is not in someone’s personal space.

Hope this helps!

Hi @Maty Grosz

Could you tell me:

  • Whether it’s a company-managed or team-managed project, and

  • Whether the board is Scrum or Kanban,

company-managed, Scrum

Thank you all.

Hi @Maty Grosz

Glad that the issue is fixed.

Could you mention which permission was missing?

Maty Grosz October 21, 2025

The question is not "which permission was missing" but rather "where did Attlasian place the settings".
I must say (or maybe complain) that we have had tough time in the last few months (and still have) to find the new places of all the familiar configurations we were using in the new JIRA UI. Not sure I understand why this "revolution" change was really needed.
