Automatically move a story to Board or Backlog when changing its status

Ian Vaughan November 16, 2022

Using a team-managed project, setup as Kanban, we have the Board and Backlog:

But we have to manually drag tickets to/from the Board/Backlog!

We have two statues that should reflect which board they show on.

  • Draft Backlog -> Backlog
  • Ready Backlog -> Board

How can I automatically move tickets from one to the other?

I tried setting up Automation, but cannot find the correct action to perform.

Eg here I tried setting it to "Next Sprint":

But get this error: "You have selected a Next Gen kanban board. Select a board that uses sprints to continue."

@Ian Vaughan

It is not possible to automatically move an issue from the Backlog to the Board in a Team Managed Kanban project.  Refer to

https://jira.atlassian.com/browse/JSWCLOUD-21481

In a Team Managed project, an issue can be in any status and be either in the backlog or on the board, so status can't be used to specify where the issue is. If you want that type of functionality you will have to use a Company Managed project Kanban board where you can specify that issues in selected Statuses are only in the Backlog.

Thank you, I see now that a Company Managed project does work better for us.

Now to migrate over!

Be advised that with a Company Managed project your project admins will not be able to customize the project workflow, issue types, or custom fields. All that has to be done by Jira admins.

Here is a document about migrating between projects.

Welcome to the Atlassian Community!

Kanban boards do not have sprints, so that automation can never work.

Boards are not containers for issues, they are a view of a selection, and the backlog is not separate, it's another way to look at what the board is selecting.

Why are you trying to automate this?  The whole point of a backlog paired with a Kanban board is to have the humans say "the team is going to do this (soon)" by the humans choosing to take an issue from the backlog (stuff people think needs the team to do) and put it on the board (stuff the team is working on)

> Why are you trying to automate this?

As you might have read in my post:

> But we have to manually drag tickets to/from the Board/Backlog!

Its very annoying to be on a ticket that requires moving on/off the Board, to have to goto the Backlog view, search for it, and then drag it!

Yes, that's how it's supposed to work, I am questioning why this is a problem for you?

There's actually a really simple fix for "not having to manually move things out of the backlog" though - turn it off or ignore it.  Make the backlog the first column of your board.

> that's how it's supposed to work

Yeah, I see that now, rather annoyingly!

> Make the backlog the first column of your board.

We have too many to have in that column, it would be a mess!

I think the other answers are what I'm looking for, use a Company Managed project.

Thanks!

Hey Ian.

It's Kanban - it won't use status to know if the issue is on board or in backlog - that is only for Scrum projects

Hello,

Slightly disagree here, what if the team use Scrumban?
Automation should be possible to implement since it's the team who decide what Agile rules/policies to follow.

Is there any intention for this feature to be implemented?

Best wishes,
Bobby
