Assigning/notifying multiple users

Hey, 

Scenario is - we're using Jira with our client for web development. When a ticket is assigned to a specific user , for ex. me, by the client ( reporter) -  I need it to notify other project managers as well that a new ticket was created and assigned to us. 

Otherwise they manually need to look for updates or wait for me to notify them.

I've been looking at this from multiple angles and it's starting to drive me up a wall :D 

- whether it's creating a group of users to assign, assigning to multiple users, adding a watcher, looking at Notification schemes etc. - I cannot find a good, clear way to achieve this. 

Any suggestions would be very welcomed.

Jira does not have a built-in way to assign issues to multiple users...which I find a good thing for accountability and work management.

You seem to instead be describing notification.  Two questions to clarify things:

  • How stable is the list of "other project managers"?  Specifically, it is always the same for all items, or does it vary?
  • How often do the "other project managers" need to be notified: on create, all changes, etc.?

If the list is stable and you can define when they notifications, perhaps use an automation rule to add them all as watchers, or just send them emails for key events.  (e.g. "releasing")

Another path is to turn this into "pull" don't "push": create a dashboard of the relevant work that such people wonder about, and share the dashboard for them to self-service their inquiries.

@Bill Sheboy  hey - thanks for the reply. 

 

How stable is the list of "other project managers"? -  it's fairly stable. the flow would be the same 99%  - client assigns/changes/comments on a ticket to a user - we need multiple users notified of the update. 

 

How often do the "other project managers" need to be notified:  - on assigning to the specified user mentioned above, on changes and comments. 

We're not really bothered how we can achieve this - just need the multiple notifications to go out. 

We can't add watchers when assigning, notification scheme i couldn't figure out how to direct it to trigger when a specific user is assigned.  Automation i didn't spend too much time on as that is per project and we have about 20-30 projects already set up. 

Just looking for an easy way to send out a notification to multiple users when a specific someone is assigned and on following updates.

To detect assignment for a specific user, trigger on Issue Assigned, followed by a condition to check if it is the specific person of interest.  Then you can notify when needed.

For your other use cases, such as Issue Commented, use that trigger and again check if the assignee is a specific person.

In my opinion...this seems like a brittle solution requiring maintenance whenever the specific person-of-interest changes.  Instead consider discussing with those managers, "what problem are you trying to solve by being notified on these specific changes, and for this specific person?"  There may be a better answer, such as the dashboard or a weekly email from a saved-filter subscription.
