How to make certain automation

Garet Rose November 29, 2023

Hello everyone, my name is Garet and I'm fairly new to Trello and all that it has to offer. I'm Currently stumped on a request my boss asked and wanted to see if his request was possible. He is wanting to have a separate board from our main project board for me and my coworkers tasks. So, when a new project is created with tasks inside the card, those assigned tasks also get sent to a separate board for each of our tasks. That way he is able to see what our work load is and see whos working on what.

I want to also apologize if this doesn't make sense as I'm still trying to figure out exactly how to explain what he is  requesting since I'm still so new to using Trello to its fullest extent. Basically when a task inside of a check list is created, he wants that task to create a card in a completely separate board where it gets assigned to the correct person to work on.

Thank you in advance and if I still don't make sense I will do my best to further explain.

Hi @Garet Rose welcome to the community! 😊 What you've described makes perfect sense! It's a question that I've seen come up a few times. Have a look at this post here.

It does explain some limitations with butler automation around using the checklist item member variable, however, there are some workarounds provided.

Hope that helps and feel free to reply with any questions!

Thank you for the reply! I'm still having issues trying to get the check list items showing up on another board though. I'm following the commands you list on the post but its not giving me the option to look outside of the board I'm using. I'm not sure if I'm just over looking a step or what but I have the other steps down I think.

You can add an additional action to move the card to another board:image.png

Thank you so much! I got that to work! Now my issue it getting the two boards to communicate back and forth to each other. Like if I make a change on one of the cards it will reflect on the other board! I thought I did it correctly but it completely moved the cards to the other board.

@Garet Rose Yes you would need to create separate rules to achieve that. For example:

when a card is moved into list "Done", find the first card linked in the attachments, and check item "{triggercardlink}"

(you would set this rule up on your board)

Not all things can be synced back and forth, however. What actions are you looking to automate?

So if I mark one card complete on one board, it will automatically mark it also on the other board as well.

For that particular rule, what it's doing is marking the checklist item as complete in the project board when the matching linked card is moved to the done list. You can create another rule to make it happen in the other direction if that's what you need.
