Using the Software Simplified Workflow for multiple projects?

We are using the software simplified workflow for a lot of 'task oriented' projects.

When using a one workflow for multiple projects are there any potential problems we should be on the lookout for?  I mean, it says right there to not modify manually, haha.

And also, I accidentally created a 'copy of a workflow scheme' that doesn't appear in 'Inactive' is there a way to get rid of this?

Thanks!

Hi @Matthew Oney ,

It is not a problem to use one workflow for multiple projects, it is the way it should be used.

You just gave to keep in mind, that if you change the workflow for one project it will affect all projects that are using this workflow.

The simplified workflow has some extra functionality that you'll loose if you modify this workflow manually, that's why the message is there.

Hi Matthew,

Certainly I would discourage you from using any Simplified Workflow for multiple projects. You can copy it if you like as the beginning of making a new shared one though. Then link the new shared ones to the multiple projects.

If the copy is not in the Inactive, then it is probably linked to a project somewhere. Simply link that project to another workflow scheme by using the Switch scheme functionality. Then you can delete it.

Hi @Matthew Oney

There's no harm in using a shared simplified workflow for the projects you are already using.

Only thing though is that the project administrator won't be able to edit the workflow and the Jira admin has to take care of the things if any different workflow is required for one of the projects.

For the second point, see if there are any associated projects with that workflow, it will show at the top - how many projects it is being used in, if not you can go ahead delete the workflow.

Thanks,
Pramodh

Haha, I'm not sure what to accept as the answer!  I definitely think making a copy of it and then using the copy was probably the best way to go, unfortunately, at this stage I'm not sure how to get everyone to modify their projects.  Oh well, we will figure it out.

Thank you!
