Set automation to remove issues with "Collect Information" status and recreate them

Nur Fatin November 12, 2024

Hello,

I have a team managed project in Jira Cloud. In the board, I have existing issues called "Task" with "Collect Information" status. In the "Task", I have 12 child issues called "Subtask". I do have other issues in other status, but I just want to focus on those with "Collect Information" status.

Assume that I have added an additional child issue (now I have 13 "Subtask").

Is it possible to set an automation so that it will delete all the "Task" with "Collect Information" status and recreate an issue for them such that it inherits the newly added "Subtask"? At the same time, I also want whatever details were in the existing "Task" to be included in the new "Task".

As the new "Task" with 13 "Subtask" will only apply when I create a new "Task", the existing ones do not have this new change as they will only have "Task" with 12 "Subtask".

I appreciate any step-by-step guide on this if it is possible.

Thank you.

Hi @Nur Fatin , thanks for your question.

Please can you explain your use case a little bit here? Why do you need to delete the Task?

You could clone the Task and copy all the Subtasks but, like I said, it is not clear to me why it is necessary.

Here is an automation you could use as a base to start from

Please let us know if we can help more with this.

Hi @Nur Fatin

Adding to Valerie's suggestions...

It is generally a bad idea to delete issues in Jira Cloud without a very good reason.  There is no "undo" capability to reverse the action.  Worsening this risk, deleting from an automation rule could lead to rapid loss of issue information.

Instead consider moving such issues to a completed status, with a Resolution value (or custom field) to indicate they are "abandoned".  That will preserve the information and allow reversal of the abandonment decision.

This may be enforced further by removing the delete issue permission from all user roles except Jira Site Admin, or higher.  Please take to your Jira Site Admin to learn more about this and other ways to prevent the loss of information in your Jira site.

Kind regards,
Bill
