JIRA workflow on free version

James Trezona November 17, 2022

Hi,

I am trying to add a workflow for a board I have created. Having difficulty locating this on the free version. Is it a limitation to add columns to the board.

Thankyou.

Best regards

James

Hi @James Trezona

Welcome to the Atlassian community!

AFAIK there are no limitations in the Jira Cloud Free Plan when it comes to adding board columns or workflows. You can check out the limitations on the Free plan for Jira Cloud in this Atlassian article.

Are you using a company-managed project or a team-managed project? The answer to your question would depend on knowing which type of project you’re using since each one has a different approach in terms of configuration and settings.

Company Managed Projects

Please be advised that board columns and workflow statuses are two different concepts but are closely tied together. Simply put, you could have several statuses mapped to one column.

  • For example: you might have have 'In Progress’ and 'In Review' statuses within your workflow linked/mapped to the the In Progress column of your board.

That being said, if you would like to edit/add board columns in your company managed project, then to configure the board and any of its settings, you must be either:

  • a project administrator for the location of the board
  • a board administrator for the board itself

For more details on configuring columns, see this article.

See this article for more details on How to create workflows for company-managed projects

Team Managed Projects

When it comes to Team Managed projects — by default upon creating them when you first start out, columns and statuses are connected to each other. This means when you create a column, you’re also creating a status. Changes to your columns and statuses can therefore be managed directly on the board.

However, you are able to assign multiple statuses to a single column or give a column and its assigned status unique names. As a result the column and status(es) become separate elements, independent of each other.

Please check out this article for details on how to manage statuses and columns in team-managed projects.

Best regards,

Hamza

Hi @James Trezona ,

welcome to the Atlassian community!

Workflow is an item associated to a project/issue type and not to the board itself (https://support.atlassian.com/jira-work-management/docs/how-to-create-workflows/)

After that you create a workflow for your project/issue types you can map, at board level, workflow statuses to your board columns as specified by @Hamza Chundrigar

Hi Fabio.. I am using as a team not company but was hoping to achieve workflow as per your link above. The key thing it is possible. Just needing to read some more material. Thankyou.
