JIRA as a document acceptance workflow

Hello community!

For last year I was getting familiar with JIRA + Confluence at my company and I am strongly confident that this combo can be used in pour digital transformation program I am working on.

Some insight. My company is a telecom company that deals with ton of internal paper work handling: acceptance, signature od orders, invoices, agreement etc. I just recently lunched our trial JIRA project for electronic acceptance of one document type and  I got very positive feedback J Not going into details, this project involves use of simple workflow, custom fields, transitions and GoEdit addon to edit documents directly from JIRA. As You can imagine, we have an administrator that is familiar with software.

So our next move (and proper question for this issue) is to create more complex project that would allow advance document handling like mentioned above agreement handling. This typically require to get several approvals and signatures where negative decision or decisions should be possible without killing the whole process.

So my questions are:

Is JIRA good solution to do that? Most cases require some large document handling (10-30Mb)

Are there any good addons that You could recommend to use?

Any other bright ideas?

So I think there are two requirements here you are asking about:

  1. approvals w/in Jira (not JSD)
  2. attaching large-ish documents

Answers:

  1. you can either do this via a nice addon that handles approvals in a nice manner or you could create approval groups and restrict transition permissions to those groups w/in the workflow. For example you might have a Draft-Approval status/transition/group to approve the draft and a Final-Approval status/transition/group to approve the final version.
  2. generally this should not be an issue. it come down to storage on your server. However, you could always use links to a document storage solution, e.g. disk mount, Sharepoint, etc. I don't think Jira is a great tool for storing documents so attaching them is only useful when associated w/ the issue being worked. Once the doc is approved/reviewed it needs to be on a document management system. Personally, I like using a wiki like Confluence. This is nice when using Jira since you can have links  between the two apps.
