How to make a sample of the task

Adolf February 10, 2025

Hello community!

Me and my team are struggling with tasks, that are filled incorrectly or not informative. Is there any tool or life-hacks to manage settings in Jira while user creates a task?

Maybe it can be a sample, that are pre-filled, or fields?

Hello @Adolf

Thanks for reaching out to the community.

I understand that having tasks filled incorrectly or lacking information can be frustrating for you and your team. Here are some strategies and tools within Jira that can help improve the quality and consistency of task creation

1. Configure Field Layout:

  • As a project admin, you can customize the issue view to ensure that the most important fields are prominently displayed. This can guide users to fill in the necessary information.
  • Steps to Configure:
    1. Open an issue of the type you'd like to configure.
    2. Click Configure at the bottom-right of the issue.
    3. Add, remove, and drag fields in the field categories until you're satisfied with the setup.
    4. Choose Save changes.

2. Use Default Values and Templates:

  • You can set default values for certain fields or create templates that users can follow when creating tasks. This ensures that essential information is not missed.
  • Consider using custom fields or pre-filled templates to guide users in providing the necessary details.
    Configure a custom field

3. Make Fields Required:

  • To ensure that critical information is always provided, you can make certain fields mandatory. This can be done by specifying field behavior in the project settings.
  • For more details, refer to Specifying field behavior.

4. Educate and Train Users:

  • Sometimes, a brief training session or a guide on how to fill out tasks correctly can be beneficial. Consider creating a Confluence page or a quick reference guide for your team.

Hello @Adolf

  • What do you mean when you say that tasks are filled incorrectly?
  • Have you added some custom fields that are having default values?
  • Do you have any automation rules that are prefilling your fields?

As for the samples, there is an option in company managed projects when you are creating a new board, there are options to create either sample Kanban or Scrum sample project with the sample issues created on the board.

For system fields such as Description and Summary, by default they cannot be prefilled.
