How do I get time reports based on workflow items?

We have the following workflow in our project tasks in JIRA - Programming, Analysis, Queue, Rejected, Testing and Done. 

We use Clockwork Pro. 

We would like to get a report that breaks down time spent on project task based on workflow items. 

So, for example - if I spent 8 hrs when the task was in Analysis and 8 hrs. when the task was in Programming, I would like a report which shows that I spent 8 hrs. in Analysis and 8 hrs. in programming. 

Can anybody help?

Hi @Mathew Kuruvilla,

Do you need this report based on the time logged by the users, or by the time the issue stayed in each status (time between the the moment the issue entered in a status and the time that issue exited the status)?

In both cases you will need a 3rd party app, so my advice is to search on Atlassian Marketplace for a plugin. 

If you decide to use a plugin, our Great Gadgets app has a Time in Status gadget that can display a Data tab with a detailed report showing the time each issue spent in every status, but this is based in status transitions, not by time logged by users.

Hi @Mathew Kuruvilla

an issue's status changes are captured in an issue's issue history, which you can access from the issue view in Jira or via Jira's REST API. From these status changes, you can calculate the time that an issue spent in a particular status - however it can be quite tricky to do that by hand.

That's the reason why a lot of users rely on solutions from the Atlassian Marketplace to do that for them. E.g., you may want to have a look at the app that my team and I are working on, JXL for Jira.

JXL is a full-fledged spreadsheet/table view for your issues that allows viewing, inline-editing, sorting, and filtering by all your issue fields, much like you’d do in e.g. Excel or Google Sheets. It also comes with a long list of so-called history columns that aren't natively available, including the time in [status], time between [status] and [status], and many, many more.

This is how it looks in action:

As you can see above, you can easily sort and filter by your history columns, and also use them across JXL's advanced features, such as support for (configurable) issue hierarchies, issue grouping by any issue field(s), sum-ups, or conditional formatting. Of course, you can also export your data to Excel or CSV in just two clicks.

If you want to calculate the time spent in each workflow status automatically, and you are open to third-party add-ons, option can be Time in Status. To get report like this just:

  1. Choose Project, Assignee, Sprint etc.
  2. Filter issues by Time Ranges
  3. Get you report as Grid or Chart view.

I think answers are different than what you have asked. You don't want a report based on how much time an issue spent on each status. You want a distribution of worklogs based on workflow status. Is this correct?

I want to know how much time a person has spent on various workflow status irrespective of the no. of issues assigned to them. 

 

So let us say I work on three issues in one week. 

Issue 1 - 8 Hrs Programming, 8 Hrs Analysis

Issue 2 - 4 Hrs Programming, 8 Hrs Analysis

Issue 3 - 2 Hrs Programming, 8 hrs Analysis.

 

I would like to see a report that shows 

Programming - 14 Hrs 

Analysis - 24 Hrs

Tracking the time spent in specific workflow statuses (like Programming, Analysis, Queue, etc.) is not directly possible with Clockwork Pro, as its primary focus is time tracking via worklogs rather than automatically calculating time spent based on issue history.

Clockwork Pro is excellent for manual time tracking and generating timesheets based on user-submitted worklogs. However, it does not automatically calculate the time an issue spends in each workflow status unless time entries are specifically logged for those statuses.

If you want to calculate the time spent in each workflow status automatically, you’ll need to use another third-party app that specializes in such metrics.

One such app is Timepiece - Time in Status for Jira, the oldest and leading 'Time in Status' app in the Atlassian Marketplace, developed by my team at OBSS.

Timepiece mainly allows you to see how much time each issue spent on each status or each assignee

With Timepiece, you can:

  1. Status Duration Report:

    • Automatically calculate how much time each issue spent in each workflow status, such as Programming, Analysis, Queue, etc. Also you can combine the time for multiple statuses to get metrics like Issue Age, Cycle Time, Lead Time, Resolution Time etc. Status Duration Report With Issue Age.png

You can use Jira Rest API's to track the time spent in each workflow status. Or as an alternate if you are interested in a mktplace app you can try out

Time in Status Reports 

With this app you generate time in status for multiple issues with multiple filter and grouping options. This app also can easily be added as a dashboard gadget.
