Creating jira tickets via email

We'd like to see if there's a way to automate Jira ticket creation via email. Specifically, we have incoming digital mail coming into an email and each requires research and forwarding. Instead of it coming to email, can it go to an email box and automatically create a Jira ticket with an attachment? Thank you.

Hi @Kojo 

You must configure the incoming mail, to do this, you must access to:

  • System -> Mail -> Incoming Mail

Click on "add incoming mail server", give it a name and select the email service provider.

Then you must add a mail handler, give it a name and choose the type of mail handler and the name of the folder from which it should read, if it is blank it will be Inbox, but you can configure automatic rules in the mail server so that the mails that are included in a certain folder are created with a specific type of issue in Jira.

Then you select the project in which the Issue will be created and the type of Issue, if you want the reporter of these issues to be a specific user you must also indicate it.

And finally perform a test to verify that the connection with the mail server is correct.

Yes, Jira issues can be automatically created from emails.

If you are following the document I linked above to automatically create issues in a Company Managed project from emails, then I recommend sending an auto-replyby setting up the Notification Scheme for the project to send a notification to Reporter on the Issue Created event.

can the email account be a shared mailbox or does it need to be a licensed email account (O365)?

my desired use-case:

  1. emails sent to marketing @tripac.net
  2. ticket is created in Jira SM
  3. updates on status, correspondence, etc. are facilitated via Jira SM to email sender
  4. prioritization, completion, etc. are managed within Jira SM

thoughts?

No, there is no special format required for the email. The email topic becomes the issue Summary and the email content becomes the Description for the issue.

Hey @Kojo 

If you don't want to go through custom mail server configuration, you can also create a simple automation with Zapier or directly collect feedback on your site via Marker.io (takes 5 mins tops).
