Incoming mail handler

tl;dr:

Current documentation is not correct:

https://confluence.atlassian.com/jirakb/how-to-configure-mail-handler-for-a-sub-directory-in-outlook-gmail-1101934494.html

For Gmail labels (nested or direct) use:

TECH_DEPARTMENT/QA

Leaving my notes downthere - may be helpful for someone in similar case.

Assuming that we are configuring own mailhandler on Google Gmail server with below structure of labels:

  • INBOX

  • TECH_DEPARTMENT

    • QA (TECH_DEPARTMENT/QA)

(Please note that INBOX is a default label. And if you create "TECH_DEPARTMENT" it is not nested inside INBOX, but at the same level as INBOX!)

While configuring mail handler, you can specify folders (well, gmail labels) which can be read for fethcing emails. However TEST button which appears on second configuration screen is working in different ways if we configure Mail Server as IMAP or via OAUTH.

  • If mailserver is configured via oauth:

    • Provide “Folder name”: TECH_DEPARTMENT\QA

    • If you go to next screen and TEST the connection, you will receive:

      • No messages in mailbox. More details...

        • More details will show:

          • Test Run Results

No messages were found in this mailbox. To properly test this handler, populate your mailbox with a few emails first and re-run the test.

Creating issue with summary 'test-1' and reporter '<id of account>'
Creating issue with summary 'test-2' and reporter '<id of account>'
            ....

        • It may be misleading as it has messages in mailbox!

  • If mailserver is configured via IMAP directly:

    • Provide “Folder name”: TECH_DEPARTMENT\QA

    • If you go to next screen and TEST the connection, you will receive:

      • The test was successful. More details...

        • More details will show:

          • Test Run Results

            Summary:

            • 17 messages read from the server.

            • 10 new issues created.

Found 17 unprocessed message(s) in the imaps folder. Only first 10 messages will be processed in test mode.
Creating issue with summary 'test-1' and reporter '<id of account>'
            ....

Atlassian Support unfortunately sends links to mentioned article at the top, which is misleading.

In both configurations mentioned above (imap / oauth) emails are fetching correctly from subfolder (ekhm, gmail labels)
