Why can I not add members to my default policy

Marisa Aguiar November 27, 2025

I am trying to add a member to my default policy and when I type the email address in the resource name does not show up.  I've already invited them as a user.

Hi @Marisa Aguiar , are you referring to "Authentication Policies" from within Atlassian Guard?

In general, all managed accounts are added to the default authentication policy for your organization.

It's also important to recognize that you can only assign Managed Accounts to authentication policies.

Here's a helpful guide on Auth Policies written by Atlassian: https://support.atlassian.com/security-and-access-policies/docs/what-is-a-default-authentication-policy/

Could you let us know if the user you are trying to add to your policy is a Managed user, or are they external to your organization?

Hi Robert, he should be a managed user, although he is showing as External.

When he clicks on the Invite link, he is prompted to enter a 6-digit passcode but does not receive any emails with the code.  I've had our IT department add him to Okta for JIRA and still no success.

Ah, so I think that's probably part of the reason why you cannot add them to an Authentication Policy.

To have a Managed Account, the domain of the associated email address needs to be claimed. I would encourage you to review the "Claimed Domains" via Directory > Domains section. You should see a list of domains here. If the email domain of this user is not listed, that's likely why they appear as External.

These domains must be domains your organization owns and are able to modify DNS settings for.

If the email domain of this user is one your company owns, you should work through the process of claiming it. If the domain is not one your org owns, then you cannot have this user appear as a Managed Account, unless you create an internal email address for them.

Here's some more details on Managed Accounts from Atlassian's help center: https://support.atlassian.com/user-management/docs/what-are-managed-accounts/

Hope this helps!

Robert
