Unable to Delete or Archive Jira Tasks

Me and my team mate are using the Jira board. I have administrator right and he has Member right on the space. I am able to archive & delete tasks where as he doesn't see this option. I have added him to all permission groups (admin groups) but it still doesn't show up for him.

Is him not being an "Administrator" the reason for this or something else? I am on the free plan so i can have only one Admin. But i also see that Members have right to edit tasks so delete should also be there ideally.CleanShot 2026-03-12 at 12.46.23@2x.pngCleanShot 2026-03-12 at 12.46.12@2x.png

Hi @Anubhav Agrawal 

If you are in a Company managed project you can check permissions via the 'Permission helper'

Click on the three dots to the right of your project name and go go Space settings -> Permissions and click on 'Permission helper' in the upper right corner.

Choose a random ticket and the user you want to evaluate and the permission "Archive issues" or "Delete issues" to see what permissions the user is lacking.

Team managed projects doesn't user permission schemas so if the user is the Administrator of the space he/she should be able to perform the same actions. 

Note that you can only have one Jira administrator on the free plan (the user that can configure Jira settings) but you can have multiple Space administrators (managing the setup of a space)

As you are on a "Free" plan you can't differentiate in permission, as this is only available on a paid plan from Atlassian.

So as this is not configurable on a "Free" plan only a user with the role administrator in a space can see these options. So you will need to grant your colleague this role.

Editing and deleting are separate permissions in Jira. A member can edit issues but still not see delete/archive. Check whether this is team-managed or company-managed, then verify the role has Delete issues.

That sounds very likely permission-related.

Being able to edit a task does not automatically mean the user can also delete or archive it. Atlassian treats those as separate permissions, so someone may be able to update issues but still not see the delete/archive options.

So I would first check:

  1. whether this is team-managed or company-managed
  2. and whether that role actually includes Delete work items / Archive work items permissions.

If this is a team-managed project on Free, that can be even more restrictive, because permission customization is limited there. So in that case it may simply be expected that a normal member can edit tasks, but not delete or archive them.

So my guess would be your access is higher, and your teammate’s role does not include the separate delete/archive permission.

On the Jira Cloud Free plan, permissions can’t be customized. This option is only available on Atlassian’s paid plans.

Because of this limitation, only users who are space administrators can see and manage certain settings. If your colleague needs access to those options, you’ll need to give them administrator access to the space.

On paid plans, permissions can be configured in more detail. It’s also important to note that editing and deleting issues are separate permissions in Jira. This means a user might be able to edit issues but still won’t be able to delete or archive them.

I’d also recommend checking whether your project is team-managed or company-managed, and confirming that the user’s role includes the “Delete Issues” permission.
