Preventing automatic license adds?

We have a set number of licenses allowed by our finance department and cannot exceed it.  If we hit the cap, we deactivate users that haven't been on in a while.  However, the # of users used to be easily visible in the invite screen and that's been removed.  I saw the notation that

  • Accounts created by self signup count towards your licence. If you run out of license seats, we'll automatically upgrade you and let you know by email.

We have access set so only invited users can join but I want to prevent any "automatic license upgrades" from happening at all.  I don't want new licenses beyond our authorized cap created just because someone sends a batch of invites without checking that it will put us over the cap.  How can we do that?

Hello Nancy and welcome to the Community!

Keeping control of your user count is very important, especially when dealing with the cloud products which are billed by the user count.

If you’re wanting to prevent your user threshold from exceeding a set value (Let’s say 100 users for this example), then you may want to explore the annual subscription vs. the monthly subscription. This would allow you to have a set user count without having to manage users each month to avoid exceeding your 100 user limit. More about annual subscripts can be found at Atlassian Cloud Licensing | Reducing your monthly bill.

The option to set a user limits within the monthly cloud product offering while having public/private invitations active is not currently available. This is mainly due to how users are billed in the monthly Cloud offering. You may find out more about the user bill rates at Atlassian Cloud Licensing | All Cloud Products.

I hope this proves helpful while providing an option for controlling your user counts.

Stephen Sifers
