Issues moved from software project sometimes do not show in a business project

Hey everyone,

In addition to using software projects, we recently started working with business projects to manage our Bug reporting workflow. As a result we moved a bulk of our issues from the software project to the business project.

I've noticed that every so often some issues seem to disappear from the board even though I have all necessary permissions. I believe it is specifically the ones that were moved. I can also see them when I use a different view such a List.

After investigating further, it seems to come down to the status.

The current status of these issues is 'Done' and when I switch the status to 'To-Do', they re-appear. What's strange is that if I switch back to the original Done status, they will continue to show for a while

Including in the workflow, if I change the category of a status from Done to To Do, the issues that were missing re-appear.

If helpful, the process my team is using this project to manage is bug reporting, a bug is reported, it's investigated by us, ready for hand off or specifically assigned to the next sprint. Alternatively, if we could not replicate what was reported, that counts as complete.

When the item is picked up, we indicate that it is being actioned and when it is deployedScreen Shot 2023-07-21 at 9.58.27 am.png

Does anyone know why this would happen and how to fix it? Why do these issues seem to show sometimes depending on the status?

Hello @Wesley Nderi

Welcome to the Atlassian community.

Work Management boards will automatically "hide" done issues when they have been done for more than 14 days.

If you change the issue to a not-done status and then back to done again, that restarts the 14 day clock for hiding that issue.

This automatic hiding of done issues is intended to remove "clutter" from your board. Jira assumes that if the issue has been in a done status for 14 days, then you don't really need to keep seeing it on the board. After all, the work is complete. Why would you need to keep seeing the build up of old done work on your board? But if it has been done for only a few days they you might want to still see it to see what was moved to done "recently".

Thanks so much @Trudy Claspill!

I appreciate you sharing how this works! It's incredibly helpful.

I can see why they have this feature. In my workflow, I had wanted to be able to mark items as Done by Team 1, which would mean that they were ready to picked up by Team 2.

Now that i have a better understanding how this works, I'll update my workflow.

Hi Wesley - Welcome to the Atlassian Community!

The boards in Jira Work Management projects only show issues for a single workflow at a time. So it is possible that the issues might be associated with an Issue Type that is connected to a different workflow than the one currently being show. Click the ... More link on the top right of the board and see if there is another workflow showing there.
