Is it possible to download our space information from time to time just to keep a offline backup?

Can we export the entire space information (Epics, tasks, subtasks, comments, status ...) to an Excel file or similar in order to keep a offline backup in the free plan?

Hello @Olga Mello

Welcome to the Atlassian community.

How many work items are in your Spaces?

You could use the Search work items feature to get a list of work items and use the Export feature from there to export all the work item fields to a variety of formats.

Are you anticipating that you need a backup that can be restored?

If you need a backup that can be restored back into Cloud then an Excel format will not work for you.

Thank you! I tested it and it worked.

I was just curious about it, as we use cloud.

hi @Olga Mello !

This cannot be done natively, but I can recommend a good data integration solution, Coupler.io.

It can Export data from Jira (among other sources) and load it to spreadsheet apps, data warehouses, or BI tools. You can select data types to export, set filters and sorting, etc., so that you only export what you need.

What's also convenient, there's an automated export feature. This means Coupler.io can automatically export your Jira data regularly on a schedule. As a result, your backup information will be kept up-to-date automatically.

The limitation is that this backup cannot be restored back in Jira; but you still can use it for reference or analytics, or simply for storing the information you may need to recover

Hi @Olga Mello !

Unfortunately, Jira doesn’t offer a one-click export of the entire space's data into a single Excel file for offline backup. On the free Jira plan, you can export work items only via filters → CSV.

If you are considering using a third-party app, I recommend the Issue History for Jira app from the SaaSJet team

Using it, you can export all space work items with full change history, including comments. Moreover, you will be able to track and export deleted work items, too.

In the app, you can choose the needed space and time range, add all the necessary columns, and export the data in Excel in minutes.

You will receive such an Excel file:

Many teams use this app for backup, auditing, or compliance.

@Olga Mello You can solve this use case with the Better Excel Automation app.

It can periodically export work items of any type, with the selected fields, comments and whatever you want to include in these "backups":

You can email the resulted file to any email address.

If this approach results in overly large files, be creative and limit the data set. You can use JQL to feed the exports, so you can export only certain projects, only the work items recently created/updated and so on.

(Discl. this free app is developed and supported by our team.)

Good to know there are so many alternatives. Thank you
