I am unable to understand how to use jira at my new org

Hi,

I have recently joined a new org and it is proving difficult to navigate so wanted some advice, I will outline the issues i have as best as I can. 

The board my team uses isn't described as a kanban or scrum board it is a project overview board (please see below) as my team is a service management team, issues can be created on other boards and move to our sprint boards. As I do not have PM responsibilities over all the boards of the tickets which can be moved into our teams primary board I am unable to complete/start/create sprints.

Another example a ticket for another team was created and we wanted to move it into one our sprints but am unable to find the ticket in the backlog. The backlog view is different from any I have experienced. What I think I see is a series of filtered backlog so tickets can be organised, You can "move" tickets into different sections of this backlog but I can't find this ticket from another board to move it into the sprint. 

Generally I am just a bit lost on how to navigate this board and would appreciate any help or being pointed in the right direction Screenshot 2024-02-14 124519.png

It is very important to understand that boards do not contain issues, they are a view of a selection of issues.  Issues do not "move from one board to another".

Your project board is a JSM project board.  People who are not the main users of your project (Agents) can not work on issues in that project, and you can not move the issues out of your project into theirs, because that would destroy your communication channel with the customer.

JSM projects do not support scrum directly, there's no backlog, they are supposed to be managed by prioritised queues.

But you could include them in other Software project boards.  They would not be of much use because your Software users would not be able to do much with them.

So, to get to the bottom of your problem, I would focus on "a ticket for another team was created and we wanted to move it into one our sprints but am unable to find the ticket in the backlog." first.

A backlog and a board are two paired views of a filter.  In the simple (and default) case, they are looking at "project = xyz".  Broadly, the backlog then shows everything that needs doing, and the board shows everything that is active, but you need to do two things:

  • Work out what the board filter is (you should be able to see it in the board settings)
  • Look at your issue that you expect to appear:
    • Does it match the filter for the board?
    • Does it count as "done" on the board?

Hi Nic,

Thanks for this explanation, all makes sense. I've never worked with a JSM board before. I am unable to see the board settings either, I think I need my permissions changed which I am currently looking into. Once I have done this I will spend sometime looking into this and report back.

 

What is your understanding of my inability to complete and start sprints?

JSM boards don't have a lot of configuration, it is only columns, swimlanes and quickfilters.

They run off a filter of "Project = this project", and will only hide issues that have been in the done column untouched for a while.

But this confuses me a bit, because JSM projects do not have a backlog.

This suggests you're looking at a board/backlog that has been created elsewhere and then told to draw in your JSM project.

You'll need to talk to the admins of the board to see the configuration of it.
