I am look to set up 4 teams with their own backlogs and Kanban view with swimlanes for each team on the board. I want to be able to pull all the reporting metrics independently for each team to gauge progress.

Hi Amy, this is certainly possible as Robert has eluded. However, to be able to assist you further we would need more info. Can you provide details ? The key here is to decide on how you wish to define your teams. For example, you might choose to create groups and add members to them. While this is most certainly doable it can become a maintenance burden as team members change. A better solution might be using a custom field or Components to associate issues to teams. For example lets say your teams are associated w/ various SW systems, e.g. Platform, UI, Backend, etc. then I would likely use Components for this. Again the best (?) approach depends on the details of your situation.

If these teams are working in Kanban, then four separate boards will be your best option to allow for separation of metrics.

You have two options here:

  • Next-Gen: Flexible board which can flex between Kanban and Scrum. However, each team would need to be their own project and only have one board. There are swimlanes, but there are fixed options (Assignee, Epic or Parent).
  • Classic: Board type is fixed - either choose a Kanban or Scrum board. However, a board can include one or multiple projects and there is more advanced filtering options for swimlanes, card colours, etc.

Personally, I would choose Classic in your instance given the higher degree of flexibility around customisation.

If you were to create four boards in Classic - you'd need to decide first how the four teams be represented:

  • Will it be four projects?
  • Or one project and teams based on components? Or on labels?
  • Or one project and teams based on a custom field?
  • Or will teams be based on user groups? Or the Assignee field?

Once decided - and project(s) have been created, to create each board:

  1. Go to the Quick Search Bar in the top-right and click on it.
  2. At the bottom of the pop-up, select "Boards"
  3. Press the blue "Create Boards" button in the top-right corner
  4. On the first screen, select "Create a Kanban Board"
  5. On the next, select "Board from an existing project"
  6. Give the board a name, select the project to use in the filter and the location of the board (likely the same project) - then press "Create Board"

^ If there is one project per team, you can skip to the last set of instructions - if not and it's done using labels or similar, follow these steps to refine the search results:

  1. From your newly created board, select Options (3-dots icon in the top-right) > Board Settings
  2. Select General from the left-hand menu
  3. Press "Edit Filter Query"
  4. On the issue search page, refine your search based on your team parameter. For example, you might add after project = ABC something like AND labels = Team_1
  5. Press Search, then press Save to update the board filter
  6. Ensure you did not remove ORDER BY Rank ASC from the query - this allows you to rank issues on your board with the appropriate permissions

^ Once the filter is refined, you can configure the board:

  1. Go to Options (3-dots icon) > Board Settings > Swimlanes
  2. You can choose to base Swimlanes off a pre-configured setting, or create your own using JQL
  3. Likewise, to setup Backlogs, still within Board Settings select "Columns" from the left-hand menu
  4. To activate the Kanban Backlog - drag a status into the blue column to the left-hand side. Usually this would be the first status in your workflow.

You can setup multiple boards, one for each team.  

In order to have multiple backlogs within a single JIRA project, you need to ensure that issues for a team are mutually exclusive from issues from another team.  Each team gets their own Kanban Board with a filter that only includes issues assigned to them.

You can also just configure swim-lanes, one for each team, and one kanban board, but they will share the backlog then.
