How to organize the Automation for Jira to find relevant automation easily?

Oded Mozesh June 25, 2025

We have many Automations.
Some replace Listeners came from Jira DC, some relace Jobs others replace workflows post functions, especially those that appear in more than one WF, so helps to avoid duplications.

Sometimes we need to update or fix automation.

to find easily relevant automations, there are 2 options:
1. provide meaningful name, but let's imagine I have post function automation that run in
3 workflows, in each one in two transitions, meaningful name will be very long and will be hard to have easy search.

2. Add several labels - "workflow", "Story", "Epic", "Create", "To Do"
But, if I could, I may look for "workflow", "Create" ==> get all relevant automations and I will be able to add more labels to the search, e.g. "Story" then I can see that the change I need relevant also to Epic (since the request got for Story, or the bug found in Story)

BUT I can search only on one Label.......

Any solution? (-:

Hi @Oded Mozesh

While the rule list and search capabilities have improved recently, I believe more improvements are needed for advanced search scenarios.  Until we have those, please consider trying:

  • Create and enforce a rule naming standard.  Site and project admins will need to help with this one, periodically reviewing to update rule names, when needed.
  • Export all rules as JSON, and import those to create a documentation / searchable source list, including links to the rules.  That can likely be done with Confluence pages.
  • Watch / vote for this suggestion to add a REST API for rule management, as that will make documentation and rule searches easier: https://jira.atlassian.com/browse/AUTO-51

Kind regards,
Bill

Use keywords in the rule names.

For example ,if you're rule is global, use the next format:

GLOBAL: *description* [KEYWORDS]

If project or multiproject:

PROJKEY: *description* [KEYWORDS]

MULTI: *description* [KEYWORDS]
or
PROJKEY1: PROJKEY2: *description* [KEYWORDS]
