How to automatically move canceled issues to project board's Backlog?

DunjaJ May 31, 2023

Is there an action in the Automations that would transfer issues from status Canceled to the project board's Backlog? Or does it only work for transitions between workflow statuses? Thank you!

Hello @DunjaJ

Are you working with issues in a Team Managed project or a Company Managed project?

Are you working with a Kanban board or a Scrum board?

Is the Cancelled status mapped to the farthest right column of your board?

Hello @Trudy Claspill
It's a Company Managed project.
Scrum board.
Yes, it's mapped to the farthest right column of the board.

Hello @DunjaJ

Issues in status that are mapped to the farthest right column of you board will not be displayed in the backlog. Those issues are considered "complete", needing no additional work or review, and therefor there is no need to continue to have them in the backlog.

If you want "cancelled" items to display in the backlog you need to change the mapping of that status in your board. That status will have to be mapped to a different column that is not the farthest to the right.

The issues can always be reopened regardless of whether or not they are displayed in the Backlog. Why do you want them displayed specifically in the Backlog?

The idea is to remove them from the Canceled status on the project's board into the Backlog so they sit there until they are eventually reopened. Issues can be moved manually but I was just trying to figure out an automation rule for that.

If you want them to display in the Backlog you need to change them from a Cancelled status to a status not in the farthest right column of your board. Also you have to remove them from the sprint, or at the close of the sprint specify that incomplete issues go back into the backlog.

You can create an Automation Rule that would automate changing an issue status from Cancelled to a different status.

I haven't looked at/worked out using Automation to remove an issue from a sprint.

Hi Maya,

First, I am just curious why you would want to put the issue into the Backlog if it has been Canceled. Is the Canceled status a Done category of status? What are your plans for the issue in the future?

DunjaJ May 31, 2023

Yes, the Canceled status is a Done category. The intention is to move Canceled issues back to project board's Backlog so they can be reopened in the future. They can be moved manually but I was wondering if there would be an automation for this.

Hi @DunjaJ ,

you need to manage status mapping with board columns. Canceled status should not be in columns board but should be mapped to backlog. This should be the trick

@Fabio Racobaldo _Herzum_ Thank you for your answer. How do I map it to Backlog?
