Hello! I'm looking to automate certain workflow transitions in Jira Software. Can someone guide me?

Steve Diaz August 26, 2023

Hello

I'm currently exploring ways to enhance our workflow efficiency in Jira Software. Specifically, I'm interested in automating certain workflow transitions for specific types of issues. I believe that workflow automation could significantly improve our team's productivity and streamline our processes. Could someone experienced with Jira Software guide me through the steps of setting up workflow automation for targeted issue types? I'm looking to better understand the process, configuration options, and any best practices you might have to share.

Your insights would be greatly appreciated as I work to implement these improvements in our project.

Hello @Steve Diaz Welcome to the community.

I'll share points on how you can achieve your requirements:

  1. Create separate workflows under a workflow scheme.
    1. Map issue types as per th workflows.
    2. Bug - Bug workflow with relevant statuses
    3. Story, Task workflow
    4. Spike workflow
    5. EPIC workflow
  2. Try to be generic such that the statuses of different workflows won't confuse your users. If QA Review is one of those statuses, be consistent. Dont keep Ready for QA review, QA Testing or other confusing names.
    1. This way your team/organization wont get confused and wont have a idea they are using different workflows.
  3. Now apply Post Functions, Validators and Conditions in each issue types the way you want to.
  4. It will be repetitive but once you configure them all, you can add ore and make your organization efficient.

I've prepared three workflows. They are for EPIC,  Standard Issue Types(Task, Story, Bug, Spike) and Sub-task issue types. Then I have separate rules for them with the help of Jira Post Functions, Validators and conditions, and JIra Automation together.

Hi @Steve Diaz , I would recommend reviewing the following documentation to get you started. It is pretty straightforward for the most part. If you want different behaviors in your workflow based on the issue type, then simply create different workflows and associate them to your different issue types. I wish I could provide a better answer for you but, to be honest, your question is too broad. Once you review the documentation and play around with your work clothes a bit, it will lead you to more specific questions which the community can then help answer for you.

Hello

Your advice on starting with the documentation is spot on. It's great that Jira workflows are straightforward to grasp. The tip about tailoring workflows based on issue types is really helpful too – that's a fantastic way to ensure specific needs are met. Even if the question seems broad at first, your suggestion of exploring and experimenting with workflows is the perfect way to gain a deeper understanding. As users get more hands-on, they'll definitely encounter more precise queries that the community can assist with. Thanks for providing such a clear and insightful response!
