We're exploring ways to connect Jira with an Applicant Tracking System (ATS) to streamline recruitment workflows, track hiring requests, and improve collaboration between HR and hiring managers.

Has anyone implemented this kind of integration? Which ATS did you use, and did you rely on native integrations, APIs, or third-party tools? I'd also appreciate any lessons learned or best practices for keeping recruitment and project workflows in sync.

Integrating Jira with an ATS is a highly effective way to bridge the gap between recruitment and the rest of the business. Most organizations use Jira to manage hiring requests and onboarding, while the ATS handles the candidate lifecycle.

  • Greenhouse: Offers a robust integration that can automatically create Jira issues when a candidate reaches a certain stage or is hired. This is frequently used for triggering onboarding tasks.

  • Lever: Lever can sync with Jira to automate the creation of hiring requests or onboarding tickets, often triggered when a candidate is marked as "Hired."

Implementation Approaches

  1. Native/Marketplace Apps (Easiest): Search the Explore Marketplace solutions for Atlassian apps | Atlassian Marketplace for your specific ATS. These are usually "plug-and-play" and handle the most common use cases like ticket creation on hire.

  2. Automation flows (JSW Flows): You can use Jira's native Automation combined with Incoming Webhooks. Most modern ATS platforms can send a webhook when an event occurs (e.g., "Application Status Changed"), which Jira can catch to create or update a work item.

  3. Middleware (Workato/Zapier): If you need complex logic (e.g., routing tickets to different spaces based on the department), middleware tools provide a no-code way to build these bridges.

Best Practices & Lessons Learned

  • Define the "Source of Truth": Typically, the ATS is the source of truth for candidate data, while Jira is the source of truth for the tasks related to that candidate.
