Hello fellow marketers! I am relatively new to Jira and not quite sure I understand the 'forms' concept.
Goal: would like to have a form - our creative brief - accessible when needed within one project (company-managed Jira Cloud) and maybe others, within multiple work types/issues. The creative brief isn't used for every work item within that project, or even always needed within that work item itself. So my team can use when needed for collateral, video, etc, as their judgement dictates.
The forms.. I've tried creating a blank one but am a bit lost in how I can customize it with more fill in the blanks with focused questions re: strategy, audience, market indicators, etc. and less fields.
Any guidance would be greatly appreciated.. thanks!
Jewell
Great question — the “forms” concept can definitely feel a bit abstract at first, so let me break it down.
Forms in Jira Service Management (JSM)
In JSM, you can create forms and attach them to request types.
They’re designed to be published in customer portal where after forms submissions work item will be created and agents can work on the work items(btw JSM pricing is based on agents count)
Limitation: the form is tied to a request type and project — so you can’t reuse the same form across multiple projects, and it isn’t something agents can just “add” to an issue when needed or share simple link to submit form.
Forms in Jira Software (and Work Management)
In Jira Software projects, you can create forms, but they are very basic compared to JSM.
They support a few field types (text, choice, date, etc.) and fields are tied to work item fields, so any form field is work item fields.
Forms can’t be reused across projects— you’d need to recreate your creative brief form for each project.
You can’t just pop a form into an issue “on demand” — it’s linked to issue creation, not optional per issue.
This is why you probably felt limited when trying to make your creative brief: the native forms in Jira Software are functional, but not flexible for optional, reusable use cases.
If you are open to use an app, you may try Smart Forms for Jira fits your creative brief need
If your goal is a Creative Brief form that’s available across projects and only used when needed (e.g., video request, campaign, collateral), Smart Forms for Jira adds the flexibility that native forms don’t provide:
Optional usage: Auto-attach to certain issue types (like “Marketing Request”), or let your team add the form manually only when relevant.
Reusable across projects: One creative brief form can be used in multiple Jira projects, so you don’t have to rebuild it each time.
Fully customizable fields: Add exactly the questions you want — strategy, audience, market indicators, deliverables — using text, dropdowns, checkboxes, attachments, or even hidden fields.
Better design: Use headings, embed pictures and videos, content blocks, and conditional logic so the form adapts to answers (e.g., if “Video” is selected → show fields for platform, length, CTA).
External sharing: Share the same form outside Jira via a secure link, embed it in Confluence, or place it on your intranet/website. This means non-Jira users (like stakeholders or clients) can fill out the creative brief and their responses still land in Jira.
*Integrated into Jira issues: Submissions live inside the issue, and you can map responses directly to Jira fields for reporting or workflows.
