Email integration to Projects

Alex Edghill January 12, 2024

My company uses Teamwork currently are and strongly considering moving over to Jira. One of the main sticking points though has been email integration support. In Teamwork each project has email inboxes automatically set up for task creation but also to save into the "Messages" element of the project. The latter is the real point of interest. So when important customer emails come in with attachments or business decisions it is easy to forward those important notes to the Teamwork project and it is stored  in its entirety, including attachments. This has been very useful as a repository of important documents across the entire team that is easily searchable and if there is any turnover in any position on the project it is not lost to the individual's inbox.

Is there a native Jira process that would do something similar or a plugin? Thanks!

Welcome to the Atlassian Community!

Jira has a couple of options.  If you are using a service-management project, there is an "email channel", but you've said Jira Software, so I would be looking at "email handlers"

An email handler monitors an email inbox, and converts incoming emails into issues, or comments on issues.  The handlers, by default, convert attached files to issue attachment.

Does that sound like what you are looking for?

There are apps that can be a lot more clever about it though, reading emails to extract fields and doing more clever matches than "subject contains an existing issue key"

Similar but not quite. So in Teamwork if you get an important mail from a C-level exec which contains a signed SOW for instance. You are able to forward it to the Project itself. They have an element of their projects called Messages. And anyone on the project can see the email, can search on anything forwarded to the Project in that way and all Files from those mails are stored both within the messages and centrally in a file repository for the Project. Management like this feature for archival of important mails, so they can easily search them and can be helpful if any PMs leave the company or for people on vacation etc. Just seems Jira does not have a similar feature. I have seen some plugins that give Projects a file repository for files. But ideally I'd want to be able to forward a mail to projectx@mycompany.jira... and it be stored. Any idea of a plugin with similar functionality?

Jira is not an email system, it is an issue tracker.

As such, it turns incoming emails into issues so it can track them, or comments on issues if it already has an issue that can be recognised (there is an existing issue key in the subject of the email)

I'm not aware of any plugin that would turn it into an email system.
