Email automation fails with status success

Lars Petermeise July 27, 2023

Hi together,

I have a question concerning the automation of sending emails when an issue is transitioned. The automation is simple:

My problem is that I do not receive the email when the automation is triggered. However, within the audit log, the status of the executed automation is shown as a success. From what I know the issue is not concerned with the recipient of the mail (that is why I included the Log action block).

I have also tried suggestions from some other threads like leaving the from and from name values to the standartized adress and value within the automation. Unfortunately this did not change anything. I have also tried replacing the email with a private adress of myself in case the jira mails would not pass through my company firewall. I also tried including a branch rule before the send email task without any success. The only thing that worked is when I replaced the send email with the creation of a subtask within the issue. This worked perfectly so the automation should work theoretically.

Is this a known issue in any way or are there some other things I could try to fix this problem?

Thank you :)

Hello @Lars Petermeise

did you try using the smart value of {{issue.assignee.emailAddress}} instead of "Assignee" in the Send Email action?

Other Jira notifications are working correctly?

Hi @Tomáš Vlach

when changing to the smart value there is no change (no email, audit log status still success). I have now tried to get an email from another automation which also did not work. Apparently there are no other notifications which I can see according to the notifications tab within the project settings:

However I know that some colleagues have complained about the abundance of automated mails within Jira, therefore I think I am messing up something right now. I am fairly new to Jira, could you elaborate further on this topic?

Hi @Lars Petermeise

could you confirm with your Jira administrator that the Outgoing Mail in System settings is enabled?

I would also recommend contacting your Jira administrator as there is no notification scheme set up on this project you are using.

Hi @Lars Petermeise

Welcome to community!

From the audit log, can you verify that the "if" condition passed? Also, did it print the assignee's email address in the audit log?

Did your tests include different users as assignee? (Just to ensure that the email problem is not specific to a particular user)

Does the same user get other emails from Jira notifications?

Hi @Fazila Ashraf!

Yes the issue condition has passed, I will inlcude a screenshot of the audit log:Screenshot 2023-07-28 094236.png

The email adress is correct in the log. And like I said, I replaced the email with my private one and there were no changes unfortunately (spam folder is also empty for both cases). I do not get any other email from jira, but I am also not assigned to any active issues. I am solely responsible for some administrative tasks, so I thought this would not be an indicator for issues.
