Done stories in backlog

Toka Mostafa January 8, 2023

By mistake I made one of the stories in backlog as done and it disappeared after that.

How can I return it back to put it in the sprint?

Hi @Toka Mostafa

You need to locate the Issue so you can modify the status!

A simple way to do this is to use the search bar in the top-right - and search for the issue's summary, or the key, or similar.

Once you've found and opened your issue - you can modify the status from the drop-down menu in the top-right (which should currently show as "Done").

This is assuming you can re-open an issue. If it doesn't let you, you might need to modify the workflow to allow for this to happen. Let us know if this is needed, but for some basics on workflows, see this help page: https://support.atlassian.com/jira-work-management/docs/understand-project-workflows/

Hello, thanks for your help.

It's a user story and I can't find it through search,

By the way , i'm not the scrum master or product owner, so I'm not sure I have access to modify workflow,

is this a thing needs access or I can do it ?

Hi @Toka Mostafa

It should be visible via search.

Try one of these alternative ways to locate it:

---

Option 1 - Issue List:

  • Select the "Issues" option from the left-hand menu - same as where the Board options like Backlog, Active Sprints, etc are
  • Order the list of Issues by created date to bring your recently created issue to the top - you can do this by clicking on the "Created" column's title to order the issues newest > oldest
  • You could also filter the list if needed - for example...
    • Select the "More +" button
    • Choose to filter by Reporter
    • Limit the issue list to just those where you are the Reporter

---

Option 2 - Search Page:

  • Select Filters (on the top navigation bar)
  • From the drop-down menu, select "Advanced Issue Search"
  • Switch to "JQL Search", using the hyperlink next to the search button - if it says "Switch to Basic" it's already on JQL Search
  • Enter this JQL - creator = currentUser() ORDER BY createdDate DESC

^ This will give you a list of issues you've created in created date order (newest > oldest).

---

One of these options will locate your issue. Once you have access to it, you can then change the status as suggested in my previous answer :)

I see you've already located your issue which is great.

I'll leave the above additional comment though, in case it's useful in future :)

Hi @Toka Mostafa and welcome to the community,

  • You can look in the done column and transition it back to the backlog

There is a chance that the resolution will not be cleared from the issue, meaning that even after you transition it, the issue will not be visible. In that case you need to edit your workflow and add a post function when re-opening issues, to clear the resolution field.

For the current issue, and in order to clear the resolution:

  • Edit your workflow
  • Create a self transition
  • Add a post function to that transition to clear the resolution
  • Save and publish your workflow
  • Go to your project and transition the "done" issue through the new transition
  • Check that the resolution is cleared.
  • If yes, then edit again your workflow and remove the self transition

Hi @Toka Mostafa ,

welcome to the Atlassian community!

You need to check the workflow of your story and verify that it can be reopened. Try to search that story using Filters-> Advanced Issue Search and then try to transition in a previous status.

After doing that, issue should be appear again in your sprint.

Hope this helps,

Fabio
