Creating Project with Multiple Sub-Projects and Tasks

Hi all,

I am a project manager and I am revamping our Jira projects by including everything related to a project in one place.  

e.g Project ABC 

Boards: Customer Service, Operations, Finance, Legal etc. 

Sub tasks: Customer Service (1. Respond to queries, 2. Provide refunds 3. Manage payments. 

The sub-tasks will be divided among our team and we'll be able to see everything that is happening with a property in one place. 

I need to know if such a layout is possible under Jira and would appreciate suggestions/recommendations on how to create such a project.

Jira does not have "sub projects", and I would recommend having another look at what sub-tasks are in Jira.  I am not sure I have got the right description yet, as people seem to struggle a bit, but my current story is that they are a fragment of their parent issue, not really individual issues, although using them to allocate bits of an issue to different people, teams, or components, can be good use of them.  They are mostly aimed at breaking up their parent into discrete, more manageable parts.

Your sub-tasks sound more like base-level issue types to me.  When a customer has a question, they ask, you get an issue to respond to.  You might use sub-tasks when the response needs information from more than one team.

Boards, if you use company-managed projects, can be completely independent of your project structure - you can create boards that draw in issues from many different projects.  Boards are better thought of as being "a view of a team's work" (in fact, Jira Align has no distinction between team and board, they're effectively the same thing). 

Your suggested boards look right to me, you would just need to build them from something that identifies the right team.  The issue type might be good, or you might have a flag of some sort (issue arrives, the first person to read it says "oh, that's for the legal team, set a field to say so")

Hi Nic,

Thank you for providing helpful tips. I have been trying to build up the board from different projects. I am facing another set back. I customized the child issues or sub-issues according to the needs of the project but it's not showing in the board. How can I add the customized categories for the child-issue to the Board?

You can create a single board from multiple projects. I'm not entirely sure that this will work for your subtasks, though - would that be in Jira Service Management?

Alternatively, you could potentially use an add-on like Project Portfolio or Structure to achieve this.
