List of members change all the time in organisation

Abhishek Singh
September 2, 2021

In a portal project, we have created an organisation and have mapped all current members.

Now the team members gets updated some or the other day, someone leaves, many joins.

How to keep this updated in Organisation ?

Users who are not in this list, are blocked automatically and we do not see their emails or answers if they are in CC in initial email.
So we need to find the way to allow domain for not to add every organisation user in the list. Cause list of employees are also changing all the time

Do we have to manually update specific member every time in respective organisation?

Or is there some other possible solution, please help

So there is the ability to add an incoming user to an organization. Check your automation Library for the following rule to start with…

Hi @Jack Brickey

Thanks a lot

Using this automation rule, do we have to make portal visible for anyone
As we do want share portal link only with our customers not everyone to avoid spam.

Thanks,

Abhishek

I would not think so. Did you run into something that lead you to believe so?

We have selected option :

Untitled12.jpg

So agents have to whitelist the emails id's to able to view portal, others cannot see it

So the automation rule will not help unknown users or new members joining in organisation.

As agent have to whitelist them first i.e. will have to manually add them in Customer>Organisation

Correct. If you have that selection then any incoming email from a non user will fail. Automation runs after a successful issue creation. My assumption was that the agent would create the customers first. If that is not he case then - yes you need the project to be open.
