Asset linking

Hello,

  We're trying to create assets in our company and link them to users. For example John Doe has Dell laptop 1234. How do I link the laptop to him?

We are using the Premium version of Atlassian with the latest updates. I have looked online, everything I have found relates to the way it used to look, nothing for the new look. The new way go to Assets, create a schema, add in your fields, add item to field. This is where I get stuck, linking the item to the user.

Second, I did a test import. How do we move those imports into the fields I created?

Hello @Charles Newton 

The Assets interface for Jira/JSM Data Center is a bit different than the one for Jira/JSM Cloud. Make sure any material you are viewing is for the correct environment.

What do you have set up?

  1. Have you created any schemas?
  2. Have you created object types?
  3. What object types have you created?
  4. If you haven't created anything yet, what is your plan for you schema and what object types do you plan to create?

At a high level I would recommend creating an object type for each of your different types of physical items (computers, phones, badges, ?)

Optionally you can create an object type for User too.

In the physical item objects (computer) you can add an Attribute to reference the User  to whom it belongs. If you are creating an Object Type for Users, then you would add an Attribute of type Object to the physical item object types. Or if all the Users you want to reference are going to be licensed users or customers of your Jira instance, then you can add an attribute of type User.

Where you have added your objects, highlight that level in the schema tree and click the Attributes button.

That gets you to the interface for adding attributes to that Object Type.

Add a new attribute for the user/owner and in the Type column select the type for this attribute.

If you want to link the objects to User account (licensed users, customers) then select User.

In the Type Value column you can then select User Groups to constrain which users (the ones from those groups) can be selected in this attribute in this object. If you don't want to limit which users can be selected, then don't select any groups.

If you plan to create an Object Type for users, you can use the Object type for the attribute, but you will have to actually create that Object Type first. When you select Object for the attribute type, the Type Value field will change to show you the Object types in the Schemas to which you have access.

Hello Charles,

Disclaimer: I am not an expert on Assets functionality.

My understanding of assets is that  each of those levels is an Object Type. And I don't believe it is possible to change the Object Type of an existing Object. Which means you could not "move" the Import test1 csv objects to make them Laptop objects.

You could re-import the data, making sure that you set up the import process to correctly create Laptop objects instead.

Hello,

  1.  Yes, I already created a new schema, named it our company name Inventory.
  2. Yes, I created object types. At the moment I have added in laptops, docking stations, and headset as the object type.
  3. I have added a couple of laptops and a headset into our inventory. The headset and laptops are under their respective object types. Will add more once I get this figured out and can share with others.

This is where I'm getting stuck. As it's the end of the work day for me, I'll do a deep dive on the link you sent me tomorrow.

Just to clarify the italics you posted above, there are two main ways (that I'm aware of) where you can create a link between an object in Assets and a user:

  • You can create a "User" type attribute on the object type for a Jira User (green box below)
  • You can create a separate object type to represent your users and create an attribute to link a "User" object to something like a "Laptop" object (red box below)
