Trying to get subtasks status for all stories in a JIRA report using sheets(JXL)

Hello Community,

I want to create a report as below where all issues(stories) have same 3 subtasks (Subtask 1, subtask 2 and subtask 3). After some research came to know that JXL is capable of doing this but I have got no success yet. Hence reaching out to the experts for help. Thanks.

Issues(Stories)Subtask 1 statusSubtask 2 statusSubtask 3 status
Story 1DoneIn progressTo-do
Story 2To doTo doTo do
Story 3In progressTo doTo do

There would be other columns as well that are needed like status of stories, assignees, labels, latest comments etc.

Hi @Abhilasha Tyagi

this is Hannes from the team behind JXL for Jira - thank you for reaching out! Can I kindly ask you to reach out to us at https://jxl.app/support, so that the team can look into this with you?

Pending a further investigation in our support channel, I think you have two options:

First, you could view the stories and their sub-tasks in a parent/child hierarchy, like so:

default-hierarchy-v3.gif

(This is also showing epics, but you don't need to have them in your sheet.)

To do so, simply create a sheet with your relevant issues, and enable the default issue hierarchy. You can add whatever columns you are interested to your sheet.

Second, you can view sub-tasks, or sub-task related information such as the sub-tasks statuses, as columns to your sheet. This is how this could look in action:

sub-task-statuses.gif

To do so, simply add the relevant columns and/or smart columns to your sheet.

I hope this helps! For any further discussion, I'd say let's take this to our support channel!

Thank you,

Best,

Hannes

Thank you so much. This smart column and hierarchy thing does seem to help. However i am facing an issue.

Can you tell that in which order of the sub-tasks does the status are displayed in the sub-task statuses (smart column) because in my sheet they are not in the order of subtasks in a story but always in Open, Inprogress, Done irrespective of the fact if the first sub-task is done.

Thank you and appreciate your help.

Hi @Abhilasha Tyagi

the sub-task statuses column always shows statuses from "to do" to "in progress" to "done" - which I understand isn't quite what you're after.

The alternative would be to use the sub-tasks column, and configure it to only show the status, like so:

issue-link-formatting.gif

This will show the sub-tasks (and their statuses, respectively) in the same order that you see them in e.g. the issue details view.

Best,

Hannes

You got it perfect! That is what I intend to do. However I don't see the option of Edit cell format in my version.

Hi @Abhilasha Tyagi

you'll have to add the sub-tasks column (as opposed to the sub-tasks statuses column).

Please let me know if this works!
