I have managed to create a custom field, but when I click on any task in any project the field doesn't show. Please could someone advise how to get the custom field to automatically be visible in all tasks on every project? Thank you in advance.

HI @Natalie Keane ,

When working with fields in Jira, it's essential to understand their relationships and configurations. Fields can be used by projects in two ways:

1. Through create, edit, or view screens
2. As part of transition screens in workflows used by the project

The diagram below illustrates these relationships.

Additionally, for a field to be accessible, it must be:

- Visible (not hidden) in the Field Configuration
- Field context sould be globally available for both projects and issue types

Manually verifying these relationships for each field can be time-consuming and labor-intensive, especially when dealing with multiple fields.

To simplify this process, consider using Fields Dashboard for Jira , an app developed by our company. This app provides a tabular representation of field relationships, offering administrators a comprehensive overview of how fields are used across the organization.

Data is exportable in csv format for further analysis.

Regularly exporting your data can be a huge time-saver when you need to track down where a specific field is being used. By having a periodic snapshot of your field usage, you'll be able to quickly identify the projects, screens, and workflows associated with each field, saving you hours of manual digging and analysis.

Petru

Hi Petru,

Thank you for your advice. I really appreciate you trying to help me, but i'm very new to Jira and so am struggling to understand what you mean. Are you able to break the steps down to almost idiot guide? I just need to know step-by-step, now i've created my custom field what I need to click on to make it available automatically on every issue in multiple projects. Thank you again for your help so far.

HI @Natalie Keane ,

You will need to get familiar with how fields are related to projects starting with the diagram I just posted.

The diagram explains clearly the way fields are related to projects:

  • field -> screen -> screen scheme -> issue type screen scheme -> project
  • field -> screen -> workflow action -> workflow -> workflow scheme -> project

There is also the field configuration that allows one to do things like hide a field, or make it required or optional.

And also there is the concept of a context. Each field starts with a global context, but can have multiple. The context, when not global, can specify that only some projects and issue types allow the field to be used.

To add to this, if your company is using Script Runner, behaviours will get into play as well, and they can hide a field, make it required etc.

Regards,

Petru

Hi @Natalie Keane

To make your custom field visible in all tasks across every project in Jira Cloud, you need to ensure that the field is added to the appropriate screens (e.g., Create, Edit, and View Issue screens) and associated with the correct field configuration scheme for all projects.

Additionally, check the field permissions to ensure it is visible to all users. Once these steps are completed, the field should appear in tasks across all projects.

For further details, you can refer to the official Jira documentation: Managing custom fields in Jira Cloud.

Best Regards.
