We're having some challenges maintaining the utilization of different Atlassian products. When you invite a user to Atlassian they automatically get added to every product unless you select "unselect all". Is there a way to flip this behavior so that by default they don't get access to any products and we have to manually give access to each?

The obvious solution: "fix your onboarding process so that your people don't grant access to everything"

Ideally the tool would help enable that process. Unless I'm missing something, the tool seems to optimize for as many Atlassian subscriptions as possible. Great for Atlassian, really bad for the customer.

Hello,

I understand the frustration of managing user access across multiple Atlassian products. Ensuring that users have access only to the tools they need is crucial for optimizing license utilization and maintaining security.

Here are a few strategies to address this challenge:

  1. Customize User Groups and Permissions:

    • Create Specific Groups: Instead of adding users to broad groups that grant access to all products, create tailored groups based on the specific Atlassian products each user needs.
    • Assign Permissions Carefully: Assign permissions at the group level to control access more granularly, ensuring users only access the necessary products.
  2. Utilize Atlassian's Access Management Features:

    • Audit Regularly: Periodically review user access and adjust permissions as roles and project needs evolve.
    • Implement Role-Based Access Control (RBAC): Define roles with specific access rights to streamline the onboarding process and minimize manual adjustments.
  3. Optimize the Onboarding Process:

    • Standardize Onboarding Procedures: Develop a clear onboarding checklist that includes steps for assigning product access based on user roles and project requirements.
    • Automate Where Possible: Use automation tools to reduce manual errors and ensure consistency in user access assignments.

Hi @Saif Ayashi

As a reminder...when recommending a marketplace vendor product, please ensure you disclose your affiliation to that vendor in your post wording. For more information about this, please see:

In my case when inviting the user without all products, but they still get all products. This is horrible as I need to add them, then individually go into each user I just added to make sure Atlassian isn't padding their user count. Users are invited like this:

But then when I look at their account their permissions are assigned like this:

Atlassian is intentionally padding their user count and raising costs for customers by creating untrustworthy user interfaces.

Hi @eric_asktia_com

I do not believe that has been fixed: allowing customers to change the default product selections for new users.  In my last role, we had a problem where new users were added to Jira Product Discovery (JPD) by default.

The current solution is to ask your Jira site admin to contact Atlassian Support and they can adjust the default products for new users: https://support.atlassian.com/contact/#/

Kind regards,
Bill

Thanks Bill. One of the issues was that we allowed anyone with our domain to create an Atlassian account, this would grant them access to all products. We've since just removed that so they need approval from an admin, where we can assign the proper permissions. Less self service, but better control. We'll look into contacting support if this process is to onerous.
