How to configure roadmap correctly for Kanban board?

Ulrich Prakash April 14, 2022

Hi,

I have a Kanban board to track my team's activities. When I click on Roadmap menu, I get the list of activities. I also want to see the schedule on the right side of the roadmap, but I don't see it even when I filled "Planned Start Date", "Due Date". Please let me know what needs to be done to use this feature correctly.

Thanks,

Prakash

Hi Ulrich,

Welcome to the Atlassian Community! We are so happy you are here!

So to confirm my understanding, when you select the 'Roadmap' option from the panel on the left side of the project, you see the list of Epics that you have created, but you don't see the months/timeline to the right of those Epics?

I have a few questions to help further my understanding:

  1. What type of project is this?  Company or Team Managed?
  2. Would you be able to potentially post a screenshot here so that I can see what you are seeing to help confirm my understanding?
  3. Is this happening for all of your projects (if you have more than one) or just this one?

Best,

Andy

Hi Andy,

Thanks for your response. My comments to your queries below:

So to confirm my understanding, when you select the 'Roadmap' option from the panel on the left side of the project, you see the list of Epics that you have created, but you don't see the months/timeline to the right of those Epics?   - YES

  1. What type of project is this?  Company or Team Managed? - Company-managed project
  2. Would you be able to potentially post a screenshot here so that I can see what you are seeing to help confirm my understanding? - AttachedJIRA Kanban screenshot.png
  3. Is this happening for all of your projects (if you have more than one) or just this one?  - This is seen for other projects too.

Thanks,

Prakash

Thanks Prakash!  This is helpful for me!  You had noted that you were setting the "Planned Start Date" field.  I think this is a custom field, as the Roadmap is looking for the "Start date" field.  I also see that it looks like one of the Epics does have a schedule in your Roadmap.  So we may be able to compare that Epic to one of the Epics that isn't showing the schedule to see the differences.

If you move your mouse to the right of the second Epic in your list so that it goes over the schedule, do you see a rectangle show up where you can set your dates (show below)?

If so, this should allow you the ability to set the Start and Due date fields for that Epic.  You can drag that field larger and smaller as well (beyond the default 14 days).  This should be able to help us identify if there are custom fields getting set for the dates.

Best,

Andy

Hi Andy,

Thanks for your response. Can you please list down what all fields are needed to be enabled/filled for the roadmap to work properly? Then I will work with the JIRA admin to get these added.

Ulrich,

I would be happy to.  The fields that control this are just the 'Start date' and 'Due date' fields on the Epic itself.

Also to confirm, were you able to set the dates for an Epic using the click option I suggested in the above previous response?

Thanks,

Andy

Hi Andy,

Thanks for your response. I will try setting the "Start date" and "Due Date" fields. On your other query, I was not able to find that Epic.

Can we also set the "Start Date", "Due Date" at Task/Requirement JIRA level and will this be reflected in the roadmap?

For Scrum boards, is there a way we can show a project completion dates for JIRAs not in the current sprint (in the Backlogs) by adding "Start Date, "Due dates" to these as well?

Hi Ulrich,

My apologies for the confusion on the first request.  You won't have the specific Epic that is in my screenshot.  That is just an example of what you would see.  You can choose any Epic on your Roadmap (minus the first one since that already has dates set for it based on the screenshot you sent me).  Any Epic on your Roadmap that doesn't currently have dates set, you can move your mouse to the right and you should see the box for the dates like is shown in my screenshot.

In terms of setting the Start and Due Dates for other issue types, you can add these fields to additional issue types (they are not added by default), however only Epics will show up in the Roadmap.  So a Task Issue Type, will not show up in the Roadmap even if you set the Start and Due Dates.

I am not sure I fully understand your last question.  For Epics (regardless if they are in the current sprint or not), you can set Roadmap Start and Due dates.

Best,

Andy

Hi Andy,

I have 2 questions:

1) For Scrum boards, how to I get the Gantt chart/timeline view of the items not in current sprint (in Backlog). These items (requirements) are planned after the current sprint, and we know the future start and end dates. If we fill the Start and Due dates for these requirement JIRAs (which are in backlog), will it show up in the Roadmap view?

2) For Kanban board, if we fill the Start and Due dates for these requirement JIRAs (which are in backlog), will it show up in the Roadmap view?

Thanks in advance,

Prakash

Hi Ulrich,

  1.  For a Scrum board Roadmap, the block on the calendar will not show up for a sub Issue of an Epic until it is added to a sprint.  You can create multiple sprints and schedule them out over time.  Then as you add tasks, bugs, stories that are tied to the Epic to those sprints, the timeline for the Epic will be updated on the Roadmap and if you expand the Epic on the Roadmap you will see when various tasks are scheduled. For example in the screenshot below, the top line shows the Sprints scheduled out in advance.  The second line is an Epic that contains multiple issues.  All the lines beneath that first red line representing the Epic, are issues within that Epic based on the sprint they are assigned to: Screen Shot 2022-04-20 at 3.30.09 PM.png
  2. For Kanban boards, the sub issues for an Epic will not show up with start and due dates currently.  Only the Epic will show the start and due date timeline on the Roadmap view.  Having said that, this is a requested feature that is currently being reviewed by the Atlassian product team.  You can follow the progress/upvote the request here: https://jira.atlassian.com/browse/JSWCLOUD-18668

Andy

Hi Andy,

Thanks for your response.

For Question-1, if I understood correctly, we can create future sprints upfront with future dates, and add the JIRAs (requirements) to future sprints in which case, these JIRAs will show up in the roadmap. Is this the case?

Also is it mandatory to align a JIRA with an Epic to show up in Roadmap? In other words, if a requirement JIRA does not have an Epic assigned, but still has a future sprint assigned, will it show up in the Roadmap timeline?

Prakash

Prakash,

  1. That is correct, you can create multiple sprints ahead of time and map out when they will be started/ended.  To create a new sprint and start putting work in it, you would just click the 'Create sprint' button from the Backlog view which will create a new sprint for you to drag items into.  The 'Start sprint' buttons on the planned sprints will only be enabled if you do not have an active sprint since you can only have 1 active sprint at a time.
  2. The issue would need to be tied to an Epic to show up on the Roadmap.  So if you an unattached issue on a sprint, it will not be reflected in the Roadmap view.  Only the Epics will show up on the Roadmap.

Best,

Andy
